Active and retired wallets

Reference

An organisation can have several wallets: one active wallet for new activity, and retired wallets kept as history. A retired wallet still shows its records, but some show money received rather than a balance.

Overview#

When an owner moves to another payment provider, the platform creates a new wallet for the new provider and retires the old one, rather than changing the old wallet in place. Both wallets stay visible, so an owner can legitimately hold two or more. Wallets of the platform's former provider, Dibee, are retired when they are brought over. A retired wallet keeps its balance, holds and credit line as history; a credit line on a retired wallet is debt to repay and cannot back new spending.

How a retired wallet is shown#

WhereWhat it shows
Wallet listThe Status column reads Inactive for a retired wallet and Operational for an active one.
Wallet detailAn Inactive badge and "This wallet is retired. New activity goes to this owner's active wallet." — or "This wallet is retired." when the owner has no active wallet.
Payment ProviderThe provider that wallet had, not the owner's current provider, with an Operational or Inactive badge.
Request provider setupNot offered on a retired wallet.
Wallet StatementThe wallet picker defaults to the first active wallet, and a retired wallet is labelled as retired in it.

Tenant and merchant wallets show the retired state and the provider the same way.

Dibee wallets: what the balance means#

A Dibee wallet's balance figure may not be a measured balance. What the pages show depends on the wallet:

WalletBalance shownRunning balance in history and statement
Dibee wallet whose opening balance has been resolvedThe balance, as for any wallet. When the wallet carries an "as of" date, the figure is the total up to that date, labelled "Balance as of" the date.Shown; lines after the "as of" date have none.
Retired merchant Dibee wallet, opening not resolvedTotal received (legacy) — the sum of money received — with "Payouts were made outside the system and are not recorded".Not shown.
Any other Dibee wallet, opening not resolvedThe balance, with "Legacy Dibee wallet — balance before migration was not carried over".Not shown.
  • Total received (legacy) is not money held: the merchant was paid out of that wallet outside the platform.
  • On a wallet with a "Balance as of" date, lines after that date have no running balance.
  • The note beside the balance is shown to everyone who can see the balance, including viewers who cannot see the provider.
  • On the Wallet Statement, a retired merchant Dibee wallet shows Received before this period and Received by the end of this period instead of opening and closing balances; see Finance reports.

Switching a wallet off and on#

The platform operator can deactivate and reactivate a wallet, and its provider, from the wallet page:

  • Deactivating a wallet also deactivates its provider; the balance stays on the wallet.
  • Deactivation is refused while money is in motion — an active hold or an incoming payment in flight — and the page says why.
  • Reactivation is refused when the owner already has another active wallet in the same currency, naming that wallet. Reactivating a wallet does not reactivate its provider.
  • A provider cannot be activated while its wallet is inactive, and a Dibee provider cannot be activated at all.
  • Tenants and merchants never see these controls.
