Adjust a B2B-Direct credit limit or record a payment

How-to guide Who can do this: Merchant Owner, Merchant Admin, Merchant Accountant

Change how much credit a tenant may use with you, or record the bank transfer a tenant made to you so its available credit is restored.

Before you start#

  • Adjust a limit: Merchant Owner or Merchant Admin.
  • Record a payment: Merchant Owner, Merchant Admin or Merchant Accountant.
  • The tenant already has a B2B-Direct credit account with you; to open one, see Grant B2B-Direct credit to a tenant.
  • For a payment, have the amount the tenant actually transferred to you. The platform does not see this transfer; you record it.

Steps#

Adjust the credit limit#

  1. In the sidebar, open B2B Credit Accounts.
  2. Click View on the tenant's row.
  3. Click Adjust Limit.
  4. The page shows the Current limit. Enter the New credit limit; zero is allowed, a negative amount is not.
  5. Click Save. You return to the account with "Credit limit updated successfully."

Record a payment#

  1. Under B2B Credit Accounts, click View on the tenant's row.
  2. Click Record Payment.
  3. The page shows the Outstanding balance. Enter the Payment amount the tenant transferred.
  4. Click Record Payment. You return to the account with "Payment recorded successfully."

Clicking the button twice records the payment once.

What happens next#

  • New limit: takes effect on the tenant's next order; there is no delay. A limit change is audited but does not appear in Ledger History or on the statement.
  • Lower limit: the tenant's owners, admins and supervisors are told the limit was reduced. If the cut moves use of an active line — what is owed plus on hold — from below 80% to 80% or more, you and the tenant also get the low-credit alert. Raising the limit sends no limit notice.
  • Payment: the outstanding amount falls by the payment, and available credit rises by the same amount. The ledger shows Payment Received, or Reset when the payment clears the whole balance.
  • The payment shows on the account's Ledger History and statement, which the tenant can also see; see Check your B2B-Direct credit with a merchant.

Rules and limits#

  • A payment can never be larger than what the tenant owes.
  • You can lower the limit below what the tenant already owes. The debt stays; the tenant simply cannot draw more.
  • A payment cannot be undone from this screen.
  • Both actions stay available on a suspended or closed account, so a late payment can still be recorded.
  • You see and change only accounts your merchant granted.
