The Finance card on order pages
The Finance card at the bottom of every refuel, work and purchase order page shows how the order was paid: one block per financial transaction, with the payments and invoices under it.
Overview#
Every order detail page — refuel, work and purchase orders, and the merchant's view of a purchase order — carries the same Finance card. It describes one event, the settlement of the order, rather than listing records type by type. Each financial transaction of the order is a block; its payments (money movements) and invoices are rows under it, showing only what each adds. What the records themselves are is on Transactions, money movements and ledger entries.
Settlement block#
Each block is headed by its transaction, which owns the facts the rows below share:
| Part | What it shows |
|---|---|
| Header | The transaction's identifier, status, type, creation time, amount and who pays whom. |
| Payment rows | Each payment's identifier, method, status and time. |
| Invoice rows | Each invoice's number, whether it is a Proforma or a VAT invoice (with the VAT invoice's type), and its issue date. |
The header also shows a direction badge, Credit or Debit, seen from the viewer's organisation. A platform operator sees it from the order's tenant's side; a viewer whose organisation is neither payer nor payee sees no badge. An order with two transactions shows two blocks, one above the other.
A fact is stated once — unless it disagrees#
A row repeats a header fact only when its own value differs, and then says so in words:
| When | The row shows |
|---|---|
| A payment's payer or payee differs from the transaction's | Its own parties and direction, with "Different parties from the transaction." |
| A payment is smaller than the transaction | Its own amount, labelled "Partial — X of Y." |
| A payment is larger than the transaction, or an invoice's total differs | Its own amount, labelled "Differs from the transaction amount". |
| A payment or an invoice is in a different currency | Both amounts in full, with "Different currency from the transaction". Amounts in different currencies are never treated as equal. |
When the transaction amount differs from the order total, the card says so. With a single transaction, the header reads "This transaction is for X, of Y ordered."; with several, one line at the bottom of the card reads "X across N transactions, of Y ordered." Either line appears only when the viewer can see all of the order's transactions and the currencies match.
When a transaction carries more than one payment — typically a failed payment and its re-issue — every payment shows its own amount, and the header adds Settled (the completed payments) and Outstanding figures, or "Over-settled by" when completed payments exceed the transaction. These figures are left out when a payment is in another currency and for merchant viewers.
Empty and missing rows#
Nothing is hidden: a missing record is stated, never left out.
| Situation | The card says |
|---|---|
| No financial records, order still a draft | "No financial records yet — this order is still a draft." |
| No financial records, order past draft | "No financial records have been recorded against this order." |
| Transaction with no payment | "No payment recorded yet." |
| Transaction with no invoice | "No invoice recorded against this transaction." |
| A payment or invoice whose transaction has been removed | Its own block, headed "This payment's transaction is no longer on file." |
| A payment whose transaction the viewer may not see | Its own block, headed "This payment's transaction is not visible to you." |
Rows in such a block show their own amount, parties and direction, since there is no header to share them with.
Failed payments#
A failed payment row explains the failure in plain words. For a viewer who may re-issue it, the row offers Review and re-issue, which opens the payment's own page, where the re-issue is confirmed; the card itself re-issues nothing. Once a replacement exists, the row says "A replacement payment has been created:" and links to it. When the payment has no payment route, every viewer is told it cannot be re-issued yet; a viewer who may re-issue is also told when the amount owed has already been settled. See Re-issue a failed payment.
Platform operators also see "Settlement recording failed" on the card when the order's settlement could not be recorded at all; other viewers never see this flag.
What each viewer sees#
- A row the viewer's organisation may not see is absent; a row it may see but whose page the viewer may not open shows its identifier as plain text, never hidden.
- A merchant sees only payments made to that merchant. When the order has none, the card says "No payment on this order is payable to you." or "No financial records on this order are payable to you."
- A counterparty the viewer is not entitled to see appears in its anonymous form with "Not shared with you".
- The card never shows wallet balances or the provider's own failure text.
Purchase orders: two kinds of "Settled"#
The tenant's purchase order page can show two different "Settled" states:
- Merchant settlement — whether the merchant has been paid for the order — in a Merchant settlement card directly above the Finance card. For a Tenant Accountant, the page header also reads "Merchant settlement:" followed by the status and date, or "Merchant settlement not recorded". Its statuses are described on Order settlement status and invoice close-out.
- The Settled status of a transaction in the Finance card, which means its VAT invoice has been matched.
The merchant's view of a purchase order has the Finance card only. The purchase order's own identity card is described on Purchase orders.
