View your wallet balance and history
See how much money your organisation's wallet holds, what is reserved and what you can spend, and which entries changed the balance.
Before you start#
- You are a Tenant or Merchant Owner, Admin or Accountant.
- What each balance figure means is on Wallets and balances.
Steps#
- In the sidebar's Finance section, open Wallets, the first entry.
- Read the list. Each row is one wallet: Wallet (its number and currency), Status (Operational or Inactive), Balance, On Hold, Available and Total Available; Owners and Admins also see Provider, which reads Pending when no provider is set up.
- Click the wallet's number to open it.
- Read the balances: Balance, On Hold, Available, Credit Balance, Credit On Hold and Total Available. Owners and Admins also see the Payment Provider card, with Request provider setup when one is needed; see Request payment provider setup for your wallet. A wallet whose balance is stated "as of" a date shows that label on its balance; see Active and retired wallets.
- Under Balance History, read the latest entries, newest first: Date, Amount and the Balance after each. Some retired wallets show no Balance column, and lines after an "as of" date have none.
- Click an entry's date to see what caused it; see Trace a payment from an order to the wallet.
- When there are more than 100 entries, the history shows the link "Showing latest 100 / … entries · view full statement"; click it for the Wallet Statement of this wallet.
What happens next#
- No money moves from these pages: there is no top-up or withdrawal. The only action for Owners and Admins is Request provider setup.
- To export the lines for a period, use the Wallet Statement; see Produce a wallet statement for your accountant.
Rules and limits#
- You see only your own organisation's wallets.
- An organisation can hold several wallets: an active one per currency for new activity, and possibly retired ones. A retired wallet shows Inactive and the sentence "This wallet is retired.". Some retired wallets show money received instead of a balance; see Active and retired wallets.
- Available is your own cash, less what is on hold; Total Available adds usable platform credit; see Wallets and balances.
If something goes wrong#
| What you see | Cause | Fix |
|---|---|---|
| No Wallets in the sidebar | Your role cannot view wallets; supervisors cannot. | Ask an Owner or Admin. |
| The list is empty | Your organisation has no wallet yet. | A wallet is opened with your organisation's payment setup; ask your platform operator. |
| Two wallets in the list | One is retired (after a provider change, or switched off by the platform operator), or they are in different currencies. | Use the Operational one for current activity in each currency. |
| No Payment Provider card | Accountants cannot see provider status. | Ask an Owner or Admin. |
