Produce a wallet statement for your accountant
Get every line of one wallet for a period, with the balance after each line, and download it as an Excel file.
Before you start#
- You are a Tenant or Merchant Owner, Admin or Accountant, or a platform operator: the statement needs permission to view ledger entries.
- Know which wallet and which period you need. What the statement contains is described on Finance reports.
Steps#
- In the sidebar's Reports section, open Wallet Statement.
- If you have more than one wallet, choose it in Wallet and click Show wallet. The picker starts on your most recent active wallet; if you have more than 50 wallets, only the 50 most recent are listed.
- Choose the period: Daily, Weekly, Monthly (the default) or Custom. For your own dates, enter From and To; the period switches to Custom on its own.
- Click Apply.
- Read the statement: the Opening balance, then each line oldest first — Date, Direction, Reference, Money in or Money out, and Running balance — and the Closing balance.
- Click Export to Excel to download the same lines.
What happens next#
- The file has the columns Date, Direction, Type, Reference, Money in, Money out and Running balance, with amounts as numbers your accountant can add up.
- The running balance in the file is the same as on the page, line for line, across every page of the statement.
- For a period that ends today, the closing balance equals the wallet's current balance — except for a wallet whose balance is stated "as of" a date, where it stops at that date; see Active and retired wallets.
- To see why a line happened, click its Date (the ledger entry) or its Reference (the payment); see Trace a payment from an order to the wallet. A line with no payment behind it reads "No money movement — recorded directly, as an opening balance or an adjustment." and has no link.
Rules and limits#
- A statement always covers a date range; there is no "all history" view.
- The page shows 50 lines at a time.
- The export holds up to 5,000 lines. When the period has more, both the page and the last row of the file say the export was cut short; narrow the dates and export again.
- Days follow Vietnam time.
- A retired merchant wallet from the earlier provider shows money received instead of a balance, with no running balance; see Active and retired wallets.
- You can only choose your own organisation's wallets.
If something goes wrong#
| What you see | Cause | Fix |
|---|---|---|
| The dates you entered were ignored | You picked Daily, Weekly or Monthly after entering dates (the preset wins), or a date could not be read. | Enter the dates again and click Apply; the period should show Custom. |
| "No activity in this period. …" | No lines in that range. | The opening figure is also the closing figure; widen the range. |
| "Export capped at 5000 rows — narrow filters to export the rest." | More than 5,000 lines in the period. | Export shorter periods. |
| "No wallet yet. A statement appears here as soon as a wallet is opened for your organisation." | Your organisation has no wallet. | Nothing to export until a wallet exists. |
| No Wallet Statement in the sidebar | Your role cannot view ledger entries. | Ask an Owner or Admin. |
| A Reference is plain text, not a link | You may not open that payment. | The line is still counted; ask a role that can open payments. |
