Refuel, Fuel Limits & OCR
Refuelling at the pump: fuel limits, odometer and receipt capture, OCR and fuel-partner integrations.
How-to guides
- Refuel at a PVoil station
Pick the PVoil station, optionally capture the odometer, scan the pump's QR and confirm the amount in the Driver App.
- Refuel at a Petrolimex station
Enter the quantity you need and show your vehicle's Petrolimex QR to the attendant from the Driver App.
- Ask for approval when a refuel is blocked
See why a refuel was blocked, send it to your supervisor for approval, and continue fuelling or start a new order once they decide.
- Approve or reject a blocked refuel
Open the refuel unblock queue, check the block reason and the vehicle's recent refuels, then approve a quantity or reject with a reason.
- Set a vehicle's refuel limit
Choose full tank, fixed quantity or GPS-based allowance for a vehicle and set its per-fill litre cap.
- Record a vehicle's starting fuel and consumption norm
Enter the vehicle's initial fuel in tank and add a new consumption norm from a given date, keeping the full history.
- Record why a refuel's consumption was abnormal
Add a justification note to a refuel order so later reviewers see why an unusual fuel consumption was legitimate.
- Add or replace a vehicle's Petrolimex QR
Enter the static Petrolimex QR a vehicle shows at the pump — as text or an image — and replace or remove it later.
- Set up your Petrolimex ID credential
Store your company's Petrolimex ID login so Petrolimex invoices are fetched for you and your drivers can use Petrolimex stations.
- Resolve OCR corrections and pump discrepancies
Work through odometer and pump readings the system could not confirm, and driver-versus-merchant pump disagreements, from the review queue.
- Verify documents a driver uploaded
Check the fields read from a driver's uploaded document, fix them if needed, and verify or reject it from the review queue.
- Review flagged odometer readings
Open the odometer review list, compare each flagged reading with its photo and the last verified value, then approve, reject or fix and apply it.
Reference
- Refuel orders
What a refuel order records — vehicle, driver, store, fuel, quantity, odometer and photos — and the three ways one is created at the pump.
- Refuel order statuses
Every status a refuel order can be in for each of the three pump flows, what moves it on, and which statuses are refuel-only.
- Refuel limits
How the platform decides how much a vehicle may refuel — full tank, fixed quantity or GPS-based allowance — the per-fill litre cap, and why a refuel is blocked.
- Fuel in tank and consumption norms
The vehicle's initial fuel in tank, its effective-dated consumption norms with history, and the running tank estimate the GPS-based limit uses.
- Blocked refuels and supervisor approval
What a BLOCKED refuel order is, the block reasons, the escalate → approve or reject → resume cycle, who can decide, and when a request expires.
- Refuelling at PVoil stations
How the PVoil scan-to-pay flow works — the pump's QR, the wallet hold, confirmation of the actual amount, settlement in the background and cancellations.
- Refuelling at Petrolimex stations (static QR)
How the Petrolimex flow works — one static QR per vehicle, no wallet hold, an order that waits for the Petrolimex invoice, and the Adjusted flag when the invoice differs.
- Odometer and pump photo readings
How odometer and pump photos become readings — the photo-quality check, background verification, when the driver's own value is kept and when a reading goes to review.
- Document field extraction
How the platform reads a driver's licence, vehicle registration, insurance or medical certificate, pre-fills its fields, links a vehicle document by plate, and sends it for verification.
- Review queue
The supervisor review queue — documents awaiting verification, OCR corrections and pump-reading discrepancies — what each item shows, the decisions available, and who can act.
