Finance reports
Three finance reports answer the questions an accountant asks most: where the money went (Spend Summary), what moved through one wallet and what its balance was after each line (Wallet Statement), and how much credit is used and when it is due (Credit Exposure).
Overview#
The finance reports sit in the Reports section of the sidebar, next to Balance and runway. They are part of every plan: access depends only on finance permissions, never on a plan feature. A tenant or merchant user sees only its own organisation's money; a platform operator sees every organisation's. Amounts are shown in full dong, never abbreviated. The tenant dashboard shows small widgets for Spend Summary, Balance & Runway and Credit Exposure, built from the same figures as the reports; the Wallet Statement has none.
Shared rules#
- Reporting period. The pills are Daily (today), Weekly (Monday to Sunday of this week), Monthly (this calendar month, the default) and Custom. Entering a From or To date switches the period to a custom range, so Apply returns exactly the dates entered.
- Days are Vietnam time (ICT). An entry at 02:00 ICT belongs to that day, not the previous UTC day.
- Buckets. A range of up to 31 days is shown day by day; a longer range month by month.
- Exports. An Excel export carries amounts as numbers that can be summed. An export is capped at 5,000 rows; when the cap applies, both the page and the last row of the file say so.
- Empty states. A range with no data shows a plain sentence naming the reason instead of an empty chart.
Spend Summary#
Answers "where is our money going?".
- Spend counts transactions that are paid or settled; pending and cancelled ones are left out.
- The headline is the period's total spend with the change against the previous period, for example vs last month. When the previous period had no spend, no change is shown rather than 0% or infinity.
- Spend over time charts the total per day or month.
- Spend by category always lists the five transaction types — refuel, work order, subscription, platform fee and adjustment — even when one is zero, with each one's share of the total.
- Spend by counterparty names every merchant you paid in the period, largest first, with no "Other" row. Spend with no merchant recorded is one Unattributed row; a merchant whose name is blank shows as Unnamed. The rows always add up to the total.
- Export to Excel gives one row per transaction: Date, Category, Counterparty, Description and Amount.
- The report is for tenants. Merchant users cannot open it: a summary of money a merchant receives would read as spend.
Wallet Statement#
The document for "prove this balance to my accountant": every line of one wallet in a date range, with a running balance.
- Choosing the wallet. A viewer with one wallet sees it directly. A viewer with several gets a Wallet picker, which lists the 50 most recent wallets (and says so when there are more) and defaults to the first active one, and Show wallet loads another. The chosen wallet stays selected when the period changes.
- A date range is required; there is no "all history" view.
- Opening balance is the balance before the range starts. Lines run oldest first. Each line shows Date, Direction (Credit, Debit or No change), Reference, Money in or Money out, and Running balance.
- Running balance is the opening balance plus every line up to and including this one. It continues across pages (50 lines a page) and is identical in the export. For a range ending today, the last running balance equals the wallet's current balance, which is the Closing balance. A wallet whose balance is shown "as of" a date (see Active and retired wallets) shows that balance as its closing figure, and lines after that date have no running balance.
- Reference is the payment behind the line, with its kind (for example Refuel) under it. It links to the payment's page when the viewer may open it, and is plain text otherwise. A line with no payment behind it says so in a full sentence. The Date links to the ledger entry. How to follow these links is on Trace a payment from an order to the wallet.
- Export to Excel has the columns Date, Direction, Type, Reference, Money in, Money out and Running balance.
- Merchants can open the statement for their own wallets: it is account activity, not spend.
- A retired merchant wallet from the earlier payment provider shows money received instead of a balance: Received before this period, Received by the end of this period, no running balance, and the note "Payouts were made outside the system and are not recorded". Other retired wallets keep their running balance; see Active and retired wallets.
Credit Exposure#
Answers "how much credit have we used, how much is left, and when is it due?" across the two credit planes.
- Credit exposure today gives, per line, the limit, used, available and utilisation. Platform credit lines and B2B-Direct credit accounts are two separate sections, each with its own totals. The headline is the credit used across the planes the viewer can see, as at today. B2B-Direct rows also show the held amount.
- Each line carries at most one alert: high utilisation at 80% use or more, overdue, exhausted or over limit (used above the limit). B2B-Direct accounts in a currency other than VND are left out, and the page names the currencies it left out. A platform credit line on a retired wallet shows no available credit: it is debt to repay only.
- A line that is closing, exhausted, suspended or closed but still owes money stays on the report with its status.
- Outstanding credit over time charts what is owed at the close of each period, measured only: no projection and no limit line, because limit history is not recorded. Limits and available credit are today's figures.
- Upcoming repayments lists platform credit lines that still owe money, soonest deadline first; an overdue line states how many days it is overdue and why it is blocked.
- A viewer with no credit line sees one sentence saying no credit has been granted, not an empty chart.
- The report has no export; each line links to its own credit statement. See Platform credit lines and B2B-Direct credit accounts.
Permissions#
| Role | Spend Summary | Wallet Statement | Credit Exposure |
|---|---|---|---|
| Tenant Owner, Tenant Admin, Tenant Accountant | Yes | Yes | Both planes |
| Tenant Supervisor | No | No | B2B-Direct only |
| Merchant Owner, Merchant Admin, Merchant Accountant | No | Own wallets | B2B-Direct only |
| Platform Operator | Yes | Yes | Both planes |
| Merchant Supervisor | No | No | No |
Merchant users see only B2B-Direct credit on Credit Exposure, and a viewer without permission to view wallets never sees platform credit figures. A report row the viewer cannot open is not shown in the sidebar.
