Stores

Reference

A store is one selling location of a merchant. The merchant maintains it; fleets see only its public face — name, address, hours and prices — never its devices, staff, order volume or history.

Overview#

Every store belongs to exactly one merchant. The owning merchant maintains it: Merchant Owner and Merchant Admin add, edit and delete its stores. Platform operators can view every store, and tenant users see a store only when it is one their fleet can buy from. The Stores list and the store detail page serve both sides from the same screens, showing each reader only what their role allows. Opening hours, the map location and photos, and the rules for which stores fleets can see have their own pages, linked below. Switching a store off is described on Active and inactive records.

Fields#

FieldWhat it holds
Store nameThe store's name; required
MerchantThe owning merchant; required. A merchant user never chooses it: the form hides the field and the store is saved to the user's own merchant. Only a staff user who belongs to no merchant picks one
Address, Phone, Email, Contact personOptional contact details
LocationThe store's map location, shown as its formatted address; see Store locations and photos
Storefront photoAn optional uploaded photo, with a fetched Google photo as fallback; see Store locations and photos
Operating hoursOpen and close times per weekday; see Store operating hours and open status
Prices confirmedWhether the merchant has reviewed and confirmed the store's fuel prices; set the first time a real price entry exists for the store
Price zoneThe government fuel price zone the store sells in, blank when unknown; see Fuel price zones
External location codeThe fuel provider's own code for the station, used to match the provider's transactions and invoices to this store
StaffThe merchant users assigned to the store
StatusActive or Inactive; new stores are always Active

Each store also has a number, shown as # on the list and ID on the detail page. Creating and editing a store is described on Create or edit a store. Every create, edit, deactivation, reactivation and delete is written to the store's audit log. Delete, in the list's Actions column, removes the store from every list; it is not the same as deactivating it.

The Stores list#

Who sees which rows:

  • Merchant users see their own merchant's stores, inactive ones included. A Merchant Supervisor sees only the stores they are assigned to.
  • Platform operators see every merchant's stores, inactive ones included.
  • Tenant users see the active stores their fleet can use — the same set as the store map. See Which stores tenants and drivers can see.

The columns are #, Name, Merchant, Address, Hours, Fuel and Actions, plus Status for merchant users and platform operators. Hours shows whether the store is open now, with Not set when no hours are configured. Fuel lists the government fuel items the store currently sells. A store whose prices are not confirmed shows a No price list badge next to its name for users who can edit stores; on an active store it links to the price review. The page also offers View map, Export Template, Export to Excel, and, for users who can add stores, Import and Add Store. The list shows 20 stores a page.

Filters#

The funnel button opens the filter panel; the page has no search box of its own. Filters can only narrow the stores a user may already see, never widen them.

When any filter is set, the panel opens on arrival and the funnel shows how many are active. A value the filter cannot read, such as a mistyped link, gives the No results match your filters. state with Clear filters, never the unfiltered list.

Export#

Export to Excel exports the filtered rows with the columns Store Name, Address, Phone, Email, Contact Person, Latitude, Longitude and Status. An export holds at most 5,000 rows; narrow the filters to export the rest.

The store detail page#

The header shows the store's number, its status badge, and its address and phone. Below it, every reader sees whether the store is open now, closing soon, closed, or has no hours configured; a store open all day shows Open now - open 24h. What else the header holds depends on the reader's role:

What tenants never see#

A store's devices, assigned staff, today's order count and amount, activity history, notes, audit log and price zone are the merchant's own business information. They are shown only to the store's owning merchant and to platform operators. For a tenant user, today's orders, the devices and the staff are not just hidden on screen: they are never loaded. A merchant user from another merchant cannot open the store at all.

Edge cases#

  • Inactive store. Its maintainers can still open, edit and reactivate it; tenant users get a not-found page. The price review links and the activation code form are hidden on it. What deactivation changes for fleets, orders and prices is on Active and inactive records.
  • Merchant Supervisor. The list shows only assigned stores, but the detail page of any store of their merchant opens from a direct link.
  • Tampered merchant. A merchant user who sends another merchant in the form still saves the store to their own merchant.
