Add, edit or deactivate a SKU or service
Keep your catalog up to date: add the goods (SKUs) and services you sell, change them, and switch off the ones you no longer sell.
Before you start#
- Who: Merchant Owner or Merchant Admin. Merchant Supervisor and Merchant Accountant can view the catalog but not change it.
- Where: SKUs and Services, under Merchants in the menu.
- The fields and rules are on SKUs and services. For a fuel SKU, know which official fuel item it sells; see Government fuel items and fuel filters.
Steps#
Add a SKU#
- On SKUs, click Add SKU.
- Under SKU details, enter Name and Code, and choose the SKU type: Fuel, Spare parts or Others.
- For a Fuel SKU, choose its Government fuel item ("Required for fuel SKUs.").
- Choose the Unit of measure, and add a Category and Description if you like.
- Check the VAT rate (%), between 0 and 100 and 10 unless changed. For fuel it is only a fallback: the platform's fuel VAT schedule applies by date. See VAT rates and VAT-inclusive prices.
- Click Save. The page shows "SKU created successfully."
Add a service#
- On Services, click Add Service.
- Under Service details, enter Name and Code, and add a Description and Category if you like.
- Click Save. The page shows "Service created successfully."
Change a SKU or service#
- On SKUs or Services, click the item's Edit (pencil) icon, or open it and click Edit.
- Change the fields and click Save. The page shows "SKU updated successfully." or "Service updated successfully."
Shared services that belong to no merchant can be priced but not edited; they have no Edit or Delete action.
Switch a SKU or service off or on#
- Open the item's edit form with Edit.
- In the Status section, turn Active off to stop selling it, or on to sell it again, and click Save.
The note under the switch says what happens: "Inactive SKUs cannot be priced, ordered or refuelled. Existing prices and history are kept." for a SKU, and "Inactive services drop out of price lists and pickers and no longer make a store visible to fleets. Existing prices and history are kept." for a service. See Active and inactive records and Which stores tenants and drivers can see.
Delete a SKU or service#
- Click the item's Delete (bin) icon on the list, or Delete on its detail page.
- The page warns "This action cannot be undone."; click Yes, delete.
Switch off an item you may sell again rather than deleting it: a deleted item cannot be brought back from the portal.
What happens next#
- A new SKU or service starts active; it can be priced on Find, edit and retire price list entries or Add prices for many stores at once.
- Inactive items stay on your lists with an Inactive badge. The Status filter (under Filters, then Apply) shows All, Active or Inactive, All by default.
- Every create, change, switch and deletion is recorded in the item's audit log.
Rules and limits#
| Rule | Detail |
|---|---|
| Codes | A code is unique within your merchant; other merchants may use the same code |
| VAT rate | Required, from 0 to 100 |
| Fuel item | Only active government fuel items are offered, plus the item an edited SKU already uses |
| Unit of measure | Only active units are offered, plus the unit an edited SKU already uses |
| Existing prices | Switching a SKU off keeps its prices; a price row for it can still be edited |
If something goes wrong#
| Message | Cause | Fix |
|---|---|---|
| "Choose the government fuel item for a fuel SKU." | SKU type is Fuel with no Government fuel item | Choose the item |
| An error at the top of the service form that a service with this merchant and code already exists | The code is already used by another of your services | Choose another code, or, if that service is only switched off, reactivate it |
| An error on VAT rate (%) | The rate is below 0 or above 100 | Enter a rate from 0 to 100 |
| The fuel item or unit you need is not offered | It is switched off, or not in the platform's list | Ask the platform team |
| No Add SKU, Edit or Delete | Your role can only view the catalog | Ask a Merchant Owner or Merchant Admin |
