SKUs and services
Each merchant keeps its own catalog of SKUs (goods such as fuel and spare parts) and services (work such as a car wash). Every fuel SKU names the government fuel item it sells, and a merchant can start its catalog from trade-profile templates.
Overview#
The catalog belongs to one merchant: a merchant maintains only its own SKUs and services, and two merchants may use the same code without clashing. A SKU is something sold by quantity, with a unit of measure and a VAT rate; a service is a named piece of work with no unit. Prices are not part of the catalog: each store prices its SKUs and services on its price list, see Price lists. The catalog is maintained on the SKUs and Services pages of the portal.
SKU fields#
| Field | Meaning |
|---|---|
| Name | The SKU's name |
| Code | The merchant's own code. Unique within the merchant; another merchant may use the same code |
| SKU type | Fuel, Spare parts or Others. A new SKU is Others unless another type is chosen |
| Government fuel item | The official fuel item this SKU sells. Required when the type is Fuel; see below |
| Unit of measure | For example litre or kilogram, chosen from the platform's list of active units |
| Category | Free text for grouping |
| VAT rate (%) | The VAT rate of the goods, 0 to 100, 10 by default. For fuel SKUs the platform's fuel VAT schedule applies by date and this rate is only the fallback; see VAT rates and VAT-inclusive prices |
| Description | Free text |
| Active | Shown on the edit form only; a new SKU is always active |
Fuel SKUs and the government fuel item#
The government fuel item is the platform's single identity for a fuel product, such as "Xăng không chì RON 95-V". Reports and store filters group fuel by this item, never by the merchant's own SKU code or name. The items themselves are described on Government fuel items and fuel filters.
- A SKU of type Fuel cannot be saved without a government fuel item. The form shows "Choose the government fuel item for a fuel SKU." on the field.
- SKUs of other types do not need one.
- The picker offers active items only, plus the item an edited SKU already links to, so retiring an item never makes its SKUs uneditable.
- Saving a fuel SKU never creates or renames any other fuel record.
- Confirming government prices for a store covers only the fuel items the merchant already has an active fuel SKU for, and prices that SKU, whatever its code. See Review and confirm a store's fuel prices.
Service fields#
| Field | Meaning |
|---|---|
| Name | The service's name |
| Code | Unique within the merchant; another merchant may use the same code. The form rejects a code the merchant already uses |
| Description, Category | Free text |
| Active | Shown on the edit form only |
A few older services belong to no merchant. These shared services are visible to every merchant and can be priced like the merchant's own, but only the platform team can change or delete them, so a merchant sees no edit or delete action on them. An inactive shared service is hidden from merchants.
Starting the catalog from trade profiles#
A trade profile, such as fuel distribution, car wash or auto repair, is a set of SKU and service templates. When a merchant picks trade profiles and confirms the preview, the platform adds the chosen templates to the merchant's catalog: SKU templates become SKUs and service templates become services, listed separately in the preview.
- Templates for official fuels are linked to their government fuel item and take its code and name, so the merchant's catalog matches the official list.
- Template names are in Vietnamese.
- Running the same trade profiles again adds nothing that already exists.
- Two merchants that pick the same trade profile each get their own rows.
The steps are on Set up your catalog from trade profiles.
Active and inactive#
A merchant can switch a SKU or service off on its edit form and back on later. Inactive rows stay on the SKUs and Services lists with an Inactive badge; a Status filter shows active, inactive or both, and shows both by default.
| Record | What inactive means |
|---|---|
| SKU | "Inactive SKUs cannot be priced, ordered or refuelled. Existing prices and history are kept." It drops out of the store's available products, and a store whose only priced SKU it was no longer counts as selling it |
| Service | "Inactive services drop out of price lists and pickers and no longer make a store visible to fleets. Existing prices and history are kept." |
An existing price row for an inactive SKU can still be edited and saved with that SKU; other inactive SKUs are not offered. Each switch is recorded in the audit log. The rules shared by every record type are on Active and inactive records.
Permissions#
| Action | Merchant Owner, Merchant Admin | Merchant Supervisor, Merchant Accountant | Tenant roles |
|---|---|---|---|
| See the SKUs and Services pages | Own catalog | Own catalog | No |
| Add, edit, deactivate or delete a SKU or service | Own catalog | No | No |
Tenant users do not see the Services, SKUs and Price Lists rows in the menu, and the pages refuse them. The platform's API and the assistant still return partner catalogs and prices to tenant users. A user who belongs to both a tenant and a merchant keeps the pages.
Edge cases#
- Creating without a merchant: a SKU or service is always created for the signed-in user's own merchant. An account with no merchant cannot add one from the portal.
- Another merchant's row: opening, editing or deleting another merchant's SKU or service answers "not found".
- Deleting removes the row from the catalog pages and is recorded in the audit log.
- Price rows and merchants: a price row's SKU or service must belong to the same merchant as the store, unless it is a shared service; see Price lists.
