Find, edit and retire price list entries

How-to guide Who can do this: Merchant Owner, Merchant Admin

Look up a store's prices on Price Lists, change a single price, end a price by giving it an end date, or change several entries at once.

Before you start#

  • Who: Merchant Owner or Merchant Admin, for the merchant's own stores. Merchant Supervisor and Merchant Accountant can look but not change.
  • Where: Price Lists in the menu, or Edit prices on a store's Price list card once the store's prices are confirmed, which opens the list filtered to that store. The screen and its columns are described on Price lists.
  • To add new prices, use Add prices for many stores at once.

Steps#

Find an entry#

  1. On Price Lists, choose the Active tab for current and future prices (future ones carry a Scheduled badge), or Expired for prices whose end date has passed.
  2. Narrow the list with the SKU, Service or Store filters, or Advanced filters for ID, dates and price ranges, then click Apply. Effective to (≤) leaves out entries with no end date.
  3. Click an entry's # number, its name, or its View (eye) icon to open its detail page.

Change one price#

  1. Click the entry's Edit (pencil) icon on the list, or Edit on its detail page.
  2. Under Price list details, change what you need: Unit price, Price includes VAT, Effective from, Effective to or Description. You can also change its Store, Service or SKU.
  3. Click Save. The page shows "Price list updated successfully."

Changing Unit price changes the entry for its whole period. To keep the old price on record, retire this entry and add a new one starting now; the entry with the latest start applies. See Price lists.

Retire a price#

  1. Open the entry's edit form.
  2. Set Effective to to the moment the price should stop, and click Save.

Once that moment has passed, the entry moves to the Expired tab and is no longer used for new orders. A store left with no current price for a SKU stops offering it, within about an hour when a price simply runs out; see Which stores tenants and drivers can see.

Change several entries at once#

  1. On Price Lists, tick the entries to change; the tick box in the header selects the rows on the current page only. A bar shows the number selected.
  2. Fill in any of Unit price, Effective from and Effective to. Fields left blank are not changed.
  3. Click Update selected.

Delete an entry#

  1. Click the entry's Delete (bin) icon, or Delete on its detail page.
  2. Confirm with Yes, delete. "This action cannot be undone." The page shows "Price list deleted successfully."

Retire a price with Effective to rather than deleting it: a deleted entry leaves both tabs, while a retired one stays on Expired.

What happens next#

  • Every edit, bulk change and deletion is recorded in the audit log.
  • New orders use the entry in force at their time. A purchase order keeps the price its lines were created with; a refuel order is priced again from the entry in force at its refuel time whenever it is edited. See Price lists.

Rules and limits#

RuleDetail
Your own storesYou see and change only your merchant's entries
SKU choicesThe SKU list on the edit form offers the store's merchant's active SKUs, plus the entry's current SKU even if it has since been switched off
Service or SKUAn entry prices either a service or a SKU, never both. Clear service/SKU empties both choices at once
CurrencySet from the store's merchant's country, not entered on the form
