Deactivate or reactivate a record

How-to guide Who can do this: Merchant Owner, Merchant Admin, Tenant Owner, Tenant Admin

Take a record out of service without deleting it, and bring it back later, with the switch in the Status section of its edit form. Integrations are paused and resumed the same way.

Before you start#

  • Who: the roles that can edit the record. Merchant Owner and Merchant Admin switch the merchant's stores, SKUs, services and departments; Tenant Owner and Tenant Admin switch the tenant's vehicles, drivers, departments, working shifts and integrations. The full list is on Active and inactive records.
  • What it does: each record type has its own effect, stated under its switch and on Active and inactive records. Deactivating keeps the record and its history; deleting removes it for good.
  • Where the switch is:

Petrolimex ID credentialTenants (your organisation's page) → Petrolimex ID Credential → ManageSync enabled

Steps#

  1. Open the list for the record, from the table above.
  2. Find the record. Inactive records stay on the list with an Inactive badge, and a paused integration shows Paused. To list only one kind, set the Status filter to Active or Inactive (Active or Paused on GPS Provider); it shows All by default. The Petrolimex ID credential has no list: its page shows the one credential.
  3. Click Edit on the record to open its edit form.
  4. In the Status section at the end of the form, turn the switch off to deactivate or pause, or on to reactivate or resume. The note under the switch says what it does.
  5. Click Save.

A paused Petrolimex ID credential shows "Sync is paused. No invoices are fetched until it is resumed." with a Resume link, on its page and on your organisation's page; Resume opens the edit form, where you turn Sync enabled on and click Save.

What happens next#

  • The record's badge changes, and the record stays on your list either way.
  • The audit log records one Inactivate or Activate entry. Other fields changed in the same save are recorded in a separate Update entry.
  • Everyone and everything that only uses the record stops or starts seeing it, as described on Active and inactive records.
  • Some actions are hidden while a record is inactive, for example adding a consumption norm to a vehicle or editing a driver's working shift; reactivate the record first.
  • A paused integration keeps its credentials; "Pausing keeps the credentials; no data is fetched until resumed." Saving a paused GPS configuration does not test the connection.
