Tag vehicles and find them in the vehicle list
Group vehicles with your own tags, such as a region, a customer contract or a vehicle type, and find vehicles quickly by tag, plate, model, driver or other fields.
Before you start#
- To create tags and attach them to vehicles you need to be a Tenant Owner or Tenant Admin.
- Tenant Supervisors and Tenant Accountants can search and filter the vehicle list but not change tags.
- Tags belong to your company: you only see, use and filter by your own company's tags.
Steps#
Create a tag#
- Open the Vehicle Tags page; ask your platform contact for its link.
- Click Add Tag, enter a Name (up to 50 characters) under Tag details and click Save.
To rename or remove a tag, use the pencil (Edit) or bin (Delete) icon on its row in Vehicle Tags.
Attach tags to a vehicle#
- Open Vehicles, click the pencil (Edit) icon on the vehicle, choose one or more Tags and save. You can also choose tags when adding a vehicle with Add Vehicle.
- The tags show as chips in the vehicle list.
Find vehicles#
- On Vehicles, open the filter panel (funnel icon). The basic filters are:
- License plate: part of the plate;
- Vehicle model: brand, model or the model as recorded on import;
- Color, VIN and Status (All by default, so inactive vehicles are included);
- Compliance (maintenance and document status), for roles that can see maintenance; Tenant Accountants do not have it.
- Click Advanced filters for Odometer from / Odometer to, GPS source, Current driver and Tags.
- Click Apply. Clear all removes every filter.
What happens next#
- Filters combine: a vehicle must match all of them.
- With several tags chosen, the list shows vehicles that carry any of them, each vehicle once.
- Export to Excel exports the filtered list, up to 5,000 rows.
- Attaching or removing tags on a vehicle is recorded in the audit log.
Rules and limits#
- A tag name is unique within your company.
- Current driver matches the driver's full name in any order, ignores diacritics and tolerates small typos: "Nguyen Van An" finds "Nguyễn Văn An". See Drivers.
- Vehicle model also matches the make and model text recorded when the vehicle was imported, so vehicles without a catalog model can still be found.
If something goes wrong#
| What you see | Cause | Fix |
|---|---|---|
| A tag is missing from the Tags filter | It belongs to another company, or has not been created | Create it in Vehicle Tags |
| No Edit icon on the vehicle row | Your role cannot edit vehicles | Ask a Tenant Owner or Tenant Admin |
| "A tag with this name already exists." | Another tag, possibly a deleted one, has that name | Choose a different name |
| The list is empty after filtering | No vehicle matches every filter | Remove filters one by one, or Clear all |
