Adjust the maintenance schedule for a vehicle type
Change how often a service is due for all your vehicles of one model, for example a shorter oil-change interval for trucks on rough roads, and go back to the platform default when you no longer need it.
Before you start#
- You need to be a Tenant Owner, Tenant Admin or Tenant Supervisor.
- Your company's plan must include maintenance.
- Open Vehicle Types under the Fleet section of the menu.
- How intervals and break-in work: Maintenance schedule templates.
Steps#
- Find the model. My Fleet lists the models your company runs, with how many vehicles each; All Vehicle Types lists every other model with a maintenance template, so you can set intervals before you buy one.
- To narrow the list, use Search (brand, model or year) and Fuel type, then click Apply. All Vehicle Types is shown 20 models per page.
- Expand the model's row. Each item shows Service, Trigger, Effective Interval and Break-in Milestones. An overridden value is highlighted, with the platform value shown under it after Platform:.
- On the item to change, click Edit override. A dialog titled "Override:" and the service name opens.
- Fill in only what you want to change:
- Interval (km) and Interval (months): leave blank to inherit the platform value;
- Break-in milestones (JSON): a list of odometer values such as
[1000, 3000];[]switches the break-in off, blank inherits; - Notes.
- Click Save. The page shows "Override saved — N vehicle(s) will be recalculated in the next few seconds." and reloads unfiltered, on the first page.
Go back to the platform default#
- On the overridden item, click Reset and confirm "Reset to platform default?"
- The page shows "Override reset — platform defaults restored." The vehicles are recalculated with the platform values.
What happens next#
- The override applies to all your company's active vehicles of that model; their due points and statuses are recalculated shortly after saving. See Vehicle maintenance status.
- Fields you left blank keep following the platform, including later platform changes.
- An override on a model you do not run yet takes effect when you add vehicles of that model.
Rules and limits#
- You can change only an item's numbers, not its Trigger; an interval the trigger does not use has no effect. See Maintenance schedule templates.
- An override belongs to your company only; other companies keep the platform values.
- You cannot add or remove services from a model's template.
- Break-in milestones must be positive whole numbers, each larger than the one before.
If something goes wrong#
| What you see | Cause | Fix |
|---|---|---|
| Vehicle Types is not in your menu | Your role cannot use maintenance settings, or the plan lacks maintenance | Ask a Tenant Owner, Tenant Admin or Tenant Supervisor |
| "No maintenance items in template." | The model has no maintenance template | Nothing can be overridden for it |
| An error message at the top of the page after Save | A value was not accepted, for example break-in milestones that are not a list of increasing positive whole numbers | Open Edit override again and re-enter the values; what you typed is not kept |
| "No vehicle models in your fleet." | None of your vehicles has a catalog model | Give your vehicles a model; see Assign vehicle models in bulk |
| A model is missing from both sections | None of your active vehicles uses it and it has no maintenance template, or the filters hide it | Clear the filters |
