Review vehicle fuel performance
Find the vehicles that use more fuel than their norm, look at one vehicle's history, and take the figures to Excel.
Before you start#
- You need to be a Tenant Owner, Tenant Admin, Tenant Supervisor or Tenant Accountant; all four can view and export.
- Your company's plan must include fleet reports.
- Open Vehicle Performance under Reports in the menu.
- How the figures are worked out: Vehicle performance figures.
Steps#
Find vehicles above their norm#
- The list opens on This month so far. Use the arrows beside the month to go back or forward (there is no forward arrow on the current month), or All time to remove the period.
- Read the Fleet consumption vs. norm chart. Each bar is one vehicle's actual consumption for the period against its norm, worst first, up to 25 vehicles:
- a vehicle under its norm: Within norm (blue) is its consumption, and Up to norm (orange) is the rest of the norm;
- a vehicle over its norm: Up to norm (orange) is the norm, and Over norm (red) is the excess on top, with the figure in red;
- a vehicle with no consumption norm: a single grey bar, not flagged; its tooltip says "No resolvable norm".
- Under the chart, read the captions: how many vehicles are shown ("Showing all N vehicles (worst first)." or "Showing N of M vehicles (worst first)."), how many vehicles have no norm, and how many records were left out for zero or missing distance. Vehicles with no norm are sorted last, so they may fall outside the 25 shown.
- To narrow the list, open the filter panel (funnel icon), choose a Vehicle and, if you want, Period end from / Period end to, then Apply. Applying the filters without dates shows that vehicle for all time, not just the month.
Look at one vehicle#
- Each table row is one refuel period, with Vehicle, Driver, Period end, ODO distance (km), GPS distance (km), Final source / value (marked Overridden when chosen by hand) and Provenance. Click the vehicle's plate to open the record.
- On the record, the Final consumption card shows the figure used, its source ("Primary (GPS)" or "Primary (Manual)"), and ODO consumption, GPS consumption and Δ consumption (GPS − ODO).
- The History card charts Fuel consumption and Distance for the vehicle's 24 most recent records, odometer against GPS.
- If a record looks wrong, correct it; see Correct a vehicle performance record.
Export to Excel#
- On the list, click Export to Excel. The file holds the rows of the current filters and period, with every figure, including the consumption norm.
What happens next#
Nothing changes: reviewing and exporting only read the records. The export follows the same period as the screen, so a default export covers this month so far, not all time.
Rules and limits#
- The chart uses pooled consumption: total fuel ÷ total distance over the period, not an average of records.
- A vehicle is flagged only when it is strictly above its norm; there is no tolerance.
- An export holds at most 5,000 rows; narrow the filters to export the rest.
- You see only your own company's vehicles.
If something goes wrong#
| What you see | Cause | Fix |
|---|---|---|
| "No chartable vehicle data for this period" | No record in the period has a distance | Pick another period or All time |
| A vehicle has a grey bar | The vehicle has no consumption norm covering the end of the period | Give the vehicle a norm covering that date, or set its Avg consumption if it has no norm history |
| "Export capped at N rows — narrow filters to export the rest." | More than 5,000 rows | Narrow the period or pick a vehicle |
| The month disappeared after filtering | The filters were applied without dates | Use This month, or enter the dates |
| A recent refuel is missing | It may not have a record yet | Contact platform support |
