Mark maintenance as done
When a service has been carried out, record it so the vehicle's maintenance item moves to its next due point.
Before you start#
- On the vehicle page you need to be a Tenant Owner, Tenant Admin or Tenant Supervisor.
- From a work order on the web, you need permission to change work orders: the same three company roles, or a Merchant Owner, Merchant Admin or Merchant Supervisor of the station that did the work.
- In the mobile apps: the work order's own driver in the Driver App, or the station's shared Merchant App device.
- Your company's plan must include maintenance, and work orders for the work-order flows.
- The vehicle must be active.
- What the items and statuses mean: Vehicle maintenance status.
Steps#
From the vehicle page (no work order)#
- Open the vehicle and find the Mechanical Maintenance card.
- On the item, click Mark as Done. The card shows the nearest-due item first; click Show N more item(s) to see the others.
- On Mark as Done, enter Completed on (today or earlier) and Odometer (km) at the time of the service, and optionally Notes.
- Click Mark as done. The page shows "Maintenance item marked as done."
From a completed work order on the web#
- Open the work order once it is Completed. A Maintenance Items Satisfied card lists the vehicle's items that are Due Soon or Overdue.
- Tick the items this work order covered and click Mark selected as done. The page shows "Marked N maintenance item(s) as done." Users who can only view work orders see the card without checkboxes.
From a completed work order in the mobile app#
- Open the completed work order in the Driver App or the Merchant App. When it has pending items, the Link maintenance items sheet opens on its own the first time; tap Link maintenance items to open it again.
- Tick the items the work covered and tap Mark as done.
What happens next#
- The item records the completion date, the odometer reading and the user who marked it, plus the work order when one was used.
- From a work order, the date is the work order's completion time and the odometer is its odometer at service, or the vehicle's verified odometer when the work order has none.
- The next due point is worked out again from the new completion, and the status updates at once. How due points are set: Maintenance schedule templates.
- A break-in milestone at or below the recorded odometer counts as done.
- Each completion is recorded in the audit log.
Rules and limits#
- On the vehicle page, the odometer must be higher than the item's last recorded completion and, when the vehicle has a verified odometer, no more than 500 km, or 10% if that is larger, above it.
- Completed on cannot be in the future.
- A work order can mark done only items of its own vehicle, and only once it is completed.
- Marking an item done does not change the vehicle's odometer.
- The Driver App's maintenance screen is read-only; drivers mark items done only through a completed work order.
If something goes wrong#
| Message | Cause | Fix |
|---|---|---|
| An error that the odometer must be greater than the previous value, or exceeds the anomaly threshold | The odometer is not above the last completion, or too far above the verified odometer | Check the reading; if the verified odometer is out of date, record a new reading first |
| An error that the date cannot be in the future | Completed on is after today | Enter today or an earlier date |
| "Vehicle inactive" | The vehicle is switched off | Reactivate the vehicle first |
| "Invalid date." | The date could not be read | Enter a valid date |
| "Odometer must be a decimal value." | The odometer is not a number | Enter a number |
| "Select at least one maintenance item." | Nothing was ticked | Tick at least one item |
| "Work order is not completed." | The work order is not completed yet | Complete it first |
| No Maintenance Items Satisfied card | The work order is not completed, or the vehicle has no Due Soon or Overdue items | Nothing to link |
