Correct a vehicle performance record

How-to guide Who can do this: Tenant Owner, Tenant Admin, Tenant Supervisor

When a vehicle performance record uses the wrong distance, switch it between GPS and odometer, or recalculate it once late GPS data has arrived.

Before you start#

  • You need to be a Tenant Owner, Tenant Admin or Tenant Supervisor.
  • Your company's plan must include fleet reports.
  • Open Vehicle Performance, find the record and open it. How records are calculated: Vehicle performance figures.
  • Decide which fix you need:
    • Override, to pick which of the two calculated distances the record uses, when one of them is clearly wrong and the other is right.
    • Recalc, when GPS data for the period arrived after the record was built.

Steps#

Use the other distance#

  1. On the record's page, click Override to GPS or Override to ODO.
  2. The page shows "Vehicle performance fact overridden." The Final consumption tile now uses the chosen distance and is marked "Primary (Manual)"; under Technical details, Final source shows the choice and Overridden reads Yes.

Recalculate from stored GPS data#

  1. On the record's page, click Recalc.
  2. The page shows "Vehicle performance fact recalculated." The odometer readings, fuel volume, both distances, both consumptions and the consumption norm are worked out again from the data stored now.

See what changed#

  1. Open the ⋯ menu at the top of the record's page and choose Audit logs. Each override or recalculation shows who made it, when, and the values before and after.

What happens next#

  • An override stays in place when the record is recalculated: the raw distances refresh, but the final source and its final distance and consumption stay as they were when you overrode.
  • An override cannot be removed; you can only switch to the other source.
  • A recalculation of a record that was not overridden picks the final source again: GPS when there is a GPS distance, otherwise odometer.
  • Only this record changes; the vehicle's other records are not touched.
  • The fleet chart and lists use the corrected figures from the next page load.

Rules and limits#

  • An override only chooses between the two calculated distances; you cannot type in a distance or consumption.
  • A recalculation reads the GPS data already stored on the platform; it does not fetch new data from the GPS provider.
  • An action that would change nothing leaves no audit entry.
  • An action that is not available is greyed out in the ⋯ menu; hover over it to see why.
