Dashboards

Reference

After sign-in the portal opens on one dashboard: a company fleet view, a merchant sales view, or a short platform overview. Tiles that are only a zero backlog stay off the company dashboard.

Overview#

Each signed-in user sees one dashboard, chosen from who they are. A platform operator sees Platform Overview, even when that person also belongs to a company or a merchant. Anyone else who belongs to a company sees Fleet Dashboard, including a person who also belongs to a merchant. A merchant user with no company sees Sales Dashboard. A signed-in user who is neither staff nor tied to a company or a merchant is sent to set up an organization instead. Company and merchant dashboards start with the setup checklist until it is hidden; see Set up a new organization in the portal.

Figures on a company dashboard count only that company's records. A merchant dashboard counts only that merchant's records. "Today" and "this month" follow the Vietnam calendar: today runs from local midnight to the next midnight, and the month starts on the 1st.

Company dashboard#

The page is titled Fleet Dashboard, with the line Your fleet health and recent activity.

Tiles that appear only when there is something to do#

Three tiles are left out entirely while their count is zero. They are not shown as zero.

TileWhen it appearsWhat the number is
Expired Documents or Expiring DocumentsAt least one document is expired or expires within 30 days. The tile opens the document list.Expired documents come first. A document is expired when its expiry date is before today, or when it is already marked expired. A document expiring today, or within the next 30 days, and not already marked expired, is expiring rather than expired. A document with no expiry date is in neither count. One company's documents never appear on another's dashboard.
Open OrdersThe count is greater than zero.Work orders and refuel orders that are not Completed and not Cancelled.
Review QueueThe user may open the review queue, and at least one item is waiting. The tile opens the documents queue. The menu entry stays even when this tile is hidden. The waiting total for this company: documents to check, OCR corrections, and pump-reading discrepancies.

When any document is expired, the tile is Expired Documents and reads expired. If some others are also coming due, the same tile adds expiring within 30 days. When nothing is expired but some expire within 30 days, the tile is Expiring Documents and reads within 30 days. The review tile's sub-line is pending.

Money, prices and import#

These cards sit in the same grid. Each money card uses the same figure as the report it opens. How those figures are built is on Finance reports, Balance and runway and Mini charts on the dashboard.

CardWho sees itWhat it shows
Total SpendTenant Owner, Tenant Admin, Tenant AccountantThis month's spend, compared with last month when a comparison exists. View spend summary opens the report. A small chart of the month so far appears when there is spend to plot.
Wallet BalanceTenant Owner, Tenant Admin, Tenant AccountantThe cash balance, labelled with the day. A runway sentence and a small chart appear when the wallet has history to base them on. View balance & runway opens the report.
Credit UsedTenant Owner, Tenant Admin, Tenant Supervisor, Tenant AccountantCredit in use as of today, with the same sentence as the credit report. A Tenant Supervisor sees only the B2B-Direct figure, the same one that role sees on the credit report. View credit exposure opens the report.
Official fuel pricesCompany users, when there is a price series to drawThe dashboard copy of the official price chart. View official fuel prices opens the full chart. See Official fuel price chart.
Import DataWhile the setup checklist has not been hidden permanently, and the company has fewer than 10 active vehicles and fewer than 10 active driversHave a spreadsheet? Import your records in minutes. Start Import opens the import. See Import records from a spreadsheet.

Recent orders#

Recent Orders lists up to 10 of the newest work orders and refuel orders for the company, newest first. Columns are Type, Vehicle, Status, Merchant and Date. An empty list reads No recent orders.

Merchant dashboard#

The page is titled Sales Dashboard, with the line Your sales and order fulfillment summary. A merchant with nothing recorded yet still sees the page, with zero counts and an empty list, rather than an error.

TileMeaning
Orders TodayWork orders and refuel orders created today, other than cancelled ones. The tile stays at zero; it is not hidden.
Revenue TodayMoney recorded today as paid or settled, other than top-ups and withdrawals.
Official fuel pricesThe same price card as on the company dashboard, when a price series can be drawn.
Import DataShown until the checklist is hidden permanently, and while the merchant has fewer than 3 active stores. The line is Have a spreadsheet of stores or staff? Import them in minutes..

Top SKUs This Month lists up to five fuel items, ranked by quantity on refuel orders since the 1st. Cancelled and blocked refuel orders are left out. Each row shows the item name, its code and the quantity. An empty month reads No data yet.

Recent Orders is the same idea as on the company dashboard: up to 10 newest work and refuel orders. Columns are Type, ID, Status and Date. The identifier opens that order. An empty list reads No recent orders.

The merchant dashboard does not show the company spend, balance or credit cards.

Platform overview#

A platform operator sees Platform Overview, with the line Cross-tenant operational summary. The tiles are Active Tenants, Active Merchants, Total Vehicles, Orders Today and Revenue Today, across every company. Orders today leave out cancelled orders. Revenue today is paid or settled money other than top-ups and withdrawals, using the same Vietnam day as the other dashboards. Recent Orders shows the 10 newest work and refuel orders anywhere. Columns are Type, ID, Status, Tenant and Date. The identifier opens the order. An empty list reads No recent orders.
