Who can do it. You need to be signed in and able to open the record. On a refuel order, a work order or a financial transaction, Audit logs is shown when your role can view audit logs. On a vehicle or a driver the same action is labelled Audit log and uses that same permission. On a store, the button also requires that you may see the store's internal details, which a company user does not. The history page then opens only if you have permission to view that kind of record and the record is one you are allowed to see. Staff skip the organization check and still need that view permission.
Where. The short list is the activity card on the record page. How that card is laid out is on Record detail pages. The full list is the Audit logs action on the same page. What the platform records, including role changes and imports, is on Audit log.
Notes are separate. A note you add sits in the notes area, not in this change list. See Add a note to a record.
Find the activity card. It is titled Recent activity on a vehicle, a driver, a store, a refuel order and a work order. On a purchase order it is titled History. A page that sets no title also reads History.
Read the lines from the top. The newest is first. Each line is a short verb, who did it, and the time. Who is named when no person was recorded depends on the record; that wording is on Record detail pages. The shared card says System only for a real audit row with no person. The first 5 lines are visible. Show all (N) opens the rest, and Collapse closes them.
For the full list, click Audit logs, or Audit log on a vehicle or a driver. A purchase order has the History card and does not have this button.
On the history page, read the columns Timestamp, Action, Actor, Object and Changes. The list is newest first, 50 rows to a page.
To see what changed on a row, click Show. Click Hide to close it.
To narrow the list, type in Search… and submit. The box matches the object text, the person's name, and a network address when one was recorded.
You are reading history. Opening it does not change the record.
The Action badge uses these labels: Created, Updated, Deleted, Activated, Inactivated, Logged in, Logged out, Other and Failure.
Actor is the person's full name, or their sign-in name when the full name is blank. When a network address was recorded, it is shown under the name. A row with no person shows a dash.
On a tenant page or a merchant page, the list also includes that organization's subscription changes.
A vehicle, a driver or a store card can also list related orders and other linked changes, not only edits to the record itself. The detail of that card is on Record detail pages.
Both the card and the history page put the latest change at the top.
Card size
Up to 50 events are loaded. The first 5 show until you click Show all (N).
History page size
50 rows to a page.
No recorded history
The card does not invent a person. It can show the record's own dates, with this caption: "No audit history was recorded for this record. The events above are reconstructed from its own timestamps and have no attributed actor.".
Nothing at all
The card reads No activity yet..
Who may open the history page
You need permission to view that kind of record, and the record must be one you are allowed to see. Staff skip the organization check and still need the view permission.
Purchase orders
History on the page only. There is no Audit logs button.
Button vs page
The button requires permission to view audit logs. The page itself checks permission to view that record.
