Import vehicles, drivers, stores or staff from a spreadsheet

How-to guide Who can do this: Tenant Owner, Tenant Admin, Merchant Owner, Merchant Admin

Create or update many records at once from a CSV or Excel file: upload it, confirm which column is which, fix any rows the preview flags, and commit.

Before you start#

  • Who can do it. A fleet company imports vehicles and drivers; a merchant imports stores and staff. The Data Exchange menu is shown to users who can add vehicles, drivers, stores or users: Tenant Owner, Tenant Admin, Merchant Owner and Merchant Admin.
  • Your file. CSV or Excel (.xlsx), up to 10 MB, with column headers in the first row. The columns each import accepts are on Import file columns; a blank template is on the list page under Export Template (Import templates and mapping profiles).
  • Where to start. Any of these opens the import:
    • Import Data in the Data Exchange section of the sidebar;
    • on the Vehicles or Drivers list, Import from Spreadsheet in the filter panel; on the Stores list, Import in the page header. These pick the import type for you. On a merchant, Import on the Users list opens the staff import;
    • the onboarding checklist item Import your fleet data (fleet companies) or Import your stores or staff (merchants);
    • Start Import on the dashboard's Import Data card, shown to a new fleet company with fewer than 10 vehicles and 10 drivers, or a new merchant with fewer than 3 stores, until the checklist is dismissed.

Steps#

  1. On Import Data, under What do you want to import?, choose the import type, choose the Spreadsheet file, and select Upload and Continue.
  2. On Map Columns, check each match between Your Column and Maps To. Change any that are wrong, or choose — Skip this column — to ignore a column. Every required field must be mapped, and each field only once. To reuse a saved mapping, pick it under Apply saved profile: and select Apply; if it matches every column, you go straight to the preview. See Save and reuse a mapping profile.
  3. Select Confirm Mapping & Validate.
  4. On Preview Import, review the highlighted rows. Where the preview shows "Did you mean: …", select Accept to use the suggestion; otherwise select Edit, correct the value and confirm it.
  5. To leave rows out, tick them in the Skip column and select Update Skipped Rows. For a row marked Duplicate, choose Skip to leave the existing record untouched.
  6. Select Commit Import.

What happens next#

  • The import page shows the counts Created, Updated, Skipped and Failed. Rows that still had errors are counted as skipped.
  • A file of more than 10,000 rows is checked in the background. The import page updates itself; when you are notified that the preview is ready, open the import and select Review Preview. The commit then also runs in the background, and you are notified when it completes or fails.
  • The import appears in Import History, and the onboarding checklist item is marked done after the first completed import.
  • You are offered to save the column matching as a mapping profile; see Save and reuse a mapping profile.

Rules and limits#

  • Existing vehicles and stores are updated rather than duplicated, and existing drivers are skipped; see Bulk import from spreadsheets.
  • The preview shows up to 200 rows, with a note when the file has more. Split a larger file into files of 200 rows or fewer so you can review every row before committing.
  • Imported drivers get a sign-in account; see Prepare a driver or staff import file.
