Spend by vehicle and Spend by merchant
Two reports break down where a fleet's money went: Spend by Vehicle shows what each vehicle cost across fuel, work orders and purchases, and Spend by Merchant shows what was paid to each merchant and, inside it, each store.
Overview#
Both reports are for fleet-company users who can see financial transactions; merchant users cannot open them. Who can open them, the period control and the shared layout are on Operational reports; how money is counted is on How the operational reports count money. Neither report has a filter other than the period.
Spend by Vehicle#
Fuel, work order and purchase spend per vehicle for the selected date range.
- What counts. Refuels, work orders and purchase orders that name a vehicle. Platform fees, standalone adjustments, payments with no order and purchases with no vehicle are left out, so the total can differ from Spend Summary.
- Headline. The period's spend, with the change against the previous period; no change is shown when the previous period's spend was zero or less.
- Chart. A ranked bar chart of vehicles, each bar stacked in three segments: Fuel, Work orders and Purchases. The legend always shows all three, even when one is zero. See Reading the ranked report charts.
- Table. One row per vehicle, with the columns Vehicle, Fuel, Work orders, Purchases and Total. A vehicle with no work orders or purchases shows ₫0 in those columns. A Total row gives the column sums and matches the headline.
- Sorting. By any column; Total, largest first, is the default.
- Plate link. The plate opens the vehicle's page when you are allowed to view vehicles; otherwise it is plain text.
- The chart has no Liters option: litres do not apply to work orders and purchases.
- Export to Excel. Columns Vehicle, Fuel, Work orders, Purchases and Total.
Spend by Merchant#
Spend, transactions, share and change per merchant for the selected date range.
- What counts. All spend. Its total equals Spend Summary's for the same period, and each merchant's figure equals its row in Spend Summary's counterparty table.
- Headline. The period's spend, with the change against the previous period; no change is shown when the previous period's spend was zero or less.
- Chart. A ranked bar chart of merchants. It has no bar for money not attributable to a merchant, so the bars can add up to less than the headline; see Reading the ranked report charts.
- Table. Merchant, Amount, Transactions, Share and Change, ending with a Total row that matches the headline. A merchant you did not pay in the previous period, or whose previous figure was zero or less, shows "—" for change; a merchant with no name shows Unnamed.
- Stores. A merchant row expands to show its spend per store, largest first. Money the platform cannot tie to one of the merchant's stores — refuels recorded without an order, orders with no store, other payments — is a Store unknown row, always last. A merchant's store rows add up to the merchant's row.
- Platform fees, subscriptions, adjustments and any other payment with no merchant make one row labelled Not attributable to a merchant, always last and not expandable, so the rows add up to the total. When that row is all the period holds, the table shows it with a note and no chart.
- Sorting. By Merchant, Amount, Transactions or Change; Amount, largest first, is the default. The unattributed row stays last, and merchants with no change figure sort last.
- Export to Excel. Columns Merchant, Amount, Transactions, Share % and Change %, with the unattributed row first.
Empty periods#
A period with no spend shows an empty-state card and a headline of ₫0. Spend by Vehicle also shows it when none of the period's spend can be tied to a vehicle, for example a period with only platform fees.
