Operational reports

Reference

Six reports answer the everyday "who, what and how much" questions of fleet companies and merchants — by vehicle, fuel item, merchant, tenant and SKU — without exporting raw orders. A seventh page charts official fuel prices.

Overview#

The operational reports sit in the Reports section of the sidebar, next to the finance reports described on Finance reports. None of them depends on a plan feature. The six money reports count money the same way; the rules are on How the operational reports count money.

The reports#

Report names are as the sidebar shows them. Each report pair is described in full on Refuel by vehicle and Refuel by fuel item, Spend by vehicle and Spend by merchant, Revenue by tenant and Sales by SKU and Official fuel price chart.

Who can open them#

ReportsWho
The four fleet-company reportsUsers who can see financial transactions and are not merchant-only users: Tenant Owner, Tenant Admin and Tenant Accountant, and platform operators
The two merchant reportsMerchant-only users who can see financial transactions: Merchant Owner, Merchant Admin and Merchant Accountant. Platform operators and users who belong to both a fleet company and a merchant cannot open them
Official Fuel PricesEvery tenant and merchant user, with no permission needed, and platform operators

Tenant Supervisor and Merchant Supervisor cannot see financial transactions, so of these reports they see only Official Fuel Prices. The sidebar shows only the reports a user may open, and opening any other report directly is refused.

Shared layout#

The six money reports follow the same layout, top to bottom. Official Fuel Prices has its own layout, described on its page.

  • Period. The same period control as the finance reports: Daily, Weekly, Monthly or a custom range, with Monthly as the default. How the control works is on Finance reports.
  • Headline. The period's total, with the change against the previous period: the previous calendar month for Monthly, otherwise the same number of days just before. When the previous period's total was zero or less, no change is shown.
  • Chart. Usually a ranked bar chart; see Reading the ranked report charts. The two refuel reports have a Money / Liters toggle, with Money as the default, and Sales by SKU has a Money / Quantity toggle when every SKU shown uses the same unit. Every chart also has a screen-reader table of its values.
  • Table. The figures behind the chart. The spend, revenue and sales tables can be sorted by their columns and end with a Total row that matches the headline. Refuel by Vehicle can be sorted but has no Total row; Refuel by Fuel Item lists fuels in catalogue order, without sorting or a Total row.
  • Filters. Refuel by Vehicle has a fuel-item filter; Revenue by Tenant and Sales by SKU have a store filter, and Sales by SKU also filters by SKU type and fuel item. The other reports have only the period.
  • Export to Excel. The table's rows, with amounts as numbers; see Export to Excel on list pages.
  • An explanation at the foot of the page states how the money on that page is counted.

All amounts include VAT; there is no pre-VAT figure. Steps for using a report are on Run and export an operational report.
