Export to Excel on list pages

Reference

Many list pages and every operational and finance report with a table have an Export to Excel button. It downloads the rows the page is showing — with your current filters and search, and only the records you are allowed to see — as an .xlsx file.

Overview#

On a list page the button sits in the page header and appears only on lists that offer an export. The file is built from the same records the page shows: the active filters and search carry over, and you get exactly the rows the list would show you — your organisation's records, your own notifications, or a shared catalogue such as services or public holidays. A user who may not open the page gets no file. The steps are on Export a list to Excel.

Rules#

  • Same rows as the page. The export uses the page's filters, search and visibility rules. It is not limited to the page of results you are on: all matching rows are exported, up to the cap.
  • 5,000-row cap. An export holds at most 5,000 rows. When there are more, the file still downloads with the first 5,000 rows and an extra last row saying the export was capped. On a list page a note under the button also says "Export capped at 5000 rows — narrow filters to export the rest."; on a report the note sits above the export control.
  • File name. Each export has a fixed English file name (for example "unused vouchers" written with an underscore), followed by the local (Vietnam) date and time of the download to the minute, so a download at 14:30 on 28 July 2026 ends in 2026-07-28-1430.xlsx. Downloads made at different minutes never overwrite each other.
  • Numbers in reports. The report exports — Spend Summary, Wallet Statement, the six operational reports and Official fuel prices — write amounts, litres and counts as numbers you can sum.
  • Formula safety. In free-text and name columns, a value that begins with =, +, - or @ (or a tab or line break) is written with a leading apostrophe, so a spreadsheet shows it as text and never runs it as a formula.
  • Masked personal data. The unused-voucher export adds a Phone column showing only the last three digits of each beneficiary's number. The disbursement-method export shows only the last four digits of each account number.
  • Extra conditions. The vehicle performance export needs its own export permission, so a user who can open that report may see no button. The Wallet Statement offers an export only once a wallet is shown.
  • Excel only. The button gives an .xlsx file. The Export Template button on the vehicle, driver, store and user lists is a different thing: an empty import template; see Import templates and mapping profiles.

Pages without an export#

A page is not exportable just because it is shown. Lists of credentials or connection settings for outside services, and platform reference data that organisations must not bulk-download, such as vehicle types, never have an export. Some other lists, for example Users, Voucher campaigns and Fleet cards, have no export today.
