Refuel limits

Reference

Each vehicle has a refuel limit that caps how many litres one refuel may take. The limit is a full tank, a fixed quantity, or a GPS-based allowance worked out from the distance driven. A refuel above the limit is created as Blocked and can be sent to a supervisor.

Overview#

The limit is set per vehicle with its Limit mode. The platform works out the allowed quantity when a refuel order is created and compares it with the requested quantity; PVoil, where no quantity is requested, blocks only when nothing is allowed. A request above the allowed quantity does not fail: the order is created as Blocked, and the driver can ask a supervisor to approve it; see Blocked refuels and supervisor approval. Setting the limit is described in Set a vehicle's refuel limit.

Limit modes#

Limit modeAllowed quantity per refuelVehicle fields used
Full tankMax litres per fill when set; otherwise the fuel capacity of the vehicle's modelMax litres per fill, the model's fuel capacity
Fixed quantityThe vehicle's Quantity refuel allowedQuantity refuel allowed
GPS-dynamicThe fuel earned by the distance driven, capped by Max litres per fill and by the room left in the tank (see Calculations)Max litres per fill, consumption norm, tank estimate, GPS distance

A new vehicle starts on Full tank. The vehicle form shows Quantity refuel allowed only for Fixed quantity, and Max litres per fill only for Full tank and GPS-dynamic. In Fixed quantity mode Max litres per fill is not used.

Calculations#

GPS-dynamic allowance#

  1. Distance — the GPS distance synced for the vehicle since its last verified odometer reading, increased by the platform's distance bonus if one is configured (none by default).
  2. Allowance — distance × the consumption norm that applies today ÷ 100. Which norm applies is described on Fuel in tank and consumption norms.
  3. GPS cap — the allowance, but no more than Max litres per fill when that is set above zero.
  4. Tank room — the vehicle model's fuel capacity minus the running tank estimate, never below zero. When either is unknown, there is no tank-room cap.
  5. Allowed quantity — the smaller of the GPS cap and the tank room, rounded to two decimals.

Refuels do not reduce the allowance. Fuel already put in is carried by the tank estimate, which rises with every completed refuel, so it limits later refuels through the tank-room cap. That cap needs a fuel capacity on the vehicle's model. When the vehicle has no consumption norm and no average consumption, the allowed quantity is zero; the platform never invents a norm.

When GPS data is too old#

The GPS-based allowance counts only when GPS has recorded movement for the vehicle within the last 6 hours by default. A vehicle with no recorded movement in that time, or none ever, gets zero. A GPS provider has to be set up for the vehicle; see Connect a GPS provider.

Block reasons#

Any request above a positive allowed quantity, in any limit mode, records Allowance consumed / no consumption norm available. When a GPS-dynamic allowance is zero, the order records one reason, checked in this order:

ReasonWhen
GPS distance not synced recently enoughNo movement recorded by GPS within the time limit, or none ever
Allowance consumed / no consumption norm availableThe vehicle has no norm and no average consumption
No GPS movement recordedNo distance since the last verified odometer reading
Tank has no room leftThe tank estimate is already at capacity
Allowance consumed / no consumption norm availableAny other case

The words the driver sees for each reason are on Blocked refuels and supervisor approval.

Rules#

Where the limit is applied#

FlowWhen the limit is checkedAbove the limit
Standard refuel in the Driver AppWhen the order is created with a requested quantityBlocked
PVoilWhen the order is created; the wallet hold is the allowed quantity × the fuel priceBlocked when nothing is allowed
PetrolimexWhen the order is created, against the requested quantityBlocked
Card refuel at the pumpWhen the order is createdBlocked

Refuel orders created by office staff in the web portal are not checked against the limit. PVoil, Petrolimex and card flows are described on Refuelling at PVoil stations, Refuelling at Petrolimex stations (static QR) and Paying for fuel with a fleet card.

Missing vehicle settings#

A vehicle on Full tank needs Max litres per fill or a vehicle model with a fuel capacity, and a vehicle on Fixed quantity needs Quantity refuel allowed. PVoil and Petrolimex refuse an order for a Full tank vehicle with neither.
