Record a vehicle's starting fuel and consumption norm
Tell the platform how much fuel a vehicle started with and how many litres per 100 km it is expected to use from a given date. Both keep their full history, and the GPS-based refuel limit uses them to estimate what is in the tank.
Before you start#
- Role: Tenant Owner or Tenant Admin, the roles allowed to change vehicles.
- Where: Vehicles, then the vehicle. The starting fuel is on the vehicle form, when you create the vehicle or later with Edit details; the norms are on the vehicle detail page.
- Fuel capacity: the starting fuel is checked against the vehicle's fuel capacity, which comes from its vehicle model.
- What each value means and how the tank estimate uses them is on Fuel in tank and consumption norms.
Steps#
Record the starting fuel#
- Open the vehicle and click Edit details. Go to the Initial fuel in tank section.
- Fill in what you know: Initial fuel in tank (litres), Initial fuel in tank amount (its money value) and Before-year consumption. Each is optional and cannot be negative.
- Enter the Effective date the values apply from. It is required whenever any of these fields holds a value, including values saved earlier, and it starts empty each time you open the form. To clear the starting fuel, empty the fields and enter an Effective date.
- Save. You see Vehicle updated successfully.
Add a consumption norm#
- On the vehicle detail page, find the Consumption norms card and click Add norm. The button appears only on active vehicles.
- On Add consumption norm, enter Value (L/100km), greater than zero.
- Enter Apply from: the first day the new norm applies. It closes the current norm and starts the new one from this date, so it must be later than the current norm's start. Past and future dates are both allowed, but give a vehicle's first norm an Apply from on or before today: once a vehicle has norms, every day must be covered by one.
- Optionally add a Note saying why (up to 255 characters), then click Save. You see Consumption norm saved.
What happens next#
- Starting fuel: the new values are stored with a history entry recording the values, the effective date and who changed them. Earlier entries stay as they were.
- Norm: the previous norm now ends the day before your Apply from date and the new one shows Open under Apply to. The card lists every norm, newest first.
- The GPS-based refuel limit uses the norm in effect on the day it is worked out; see Refuel limits.
Rules and limits#
- Same values, nothing recorded. Saving the same starting-fuel values with the same effective date, or a norm with the same value and Apply from as the current one, records nothing.
- Over capacity stops the whole save. If the starting fuel is more than the vehicle's fuel capacity, none of the vehicle changes on that save are kept. When the capacity is unknown, no capacity check is made.
- No edit or delete. Norms and starting-fuel history entries cannot be changed or removed. To correct a norm, add a new one from a later date; the wrong value stays in effect up to the day before.
- Every change is recorded. The starting fuel can be changed only on the vehicle form or through the vehicle API, and both record a history entry.
If something goes wrong#
| Message | Cause | Fix |
|---|---|---|
| Effective date is required when setting initial-tank values. | A starting-fuel value is filled in without an Effective date | Enter the date the values apply from |
| A message that the initial fuel in tank exceeds the vehicle's fuel capacity | The starting fuel is more than the tank holds | Enter a smaller amount, or check the vehicle model's fuel capacity |
| A message that the new start date must be after the current norm's start date | Apply from is on or before the current norm's start | Choose a later date |
| No Add norm button | The vehicle is inactive, or your role cannot change vehicles | Reactivate the vehicle, or ask a Tenant Owner or Tenant Admin |
