Ask for approval when a refuel is blocked

How-to guide Who can do this: Driver

When a refuel asks for more fuel than the vehicle's limit allows, the Driver App shows Refuel Blocked instead of letting you fuel. Send the order to your supervisor; when they approve, continue where you left off.

Before you start#

  • Role: a driver, on your own blocked order.
  • Where: the Refuel Blocked screen opens by itself when you start a refuel that is over the limit, at a normal station, a PVoil station or a Petrolimex station. When you reopen the app, a blocked PVoil or Petrolimex order opens straight away; for other orders, tap the order in progress on the home screen, or the Blocked order in your order list.
  • Why refuels are blocked and who decides is on Blocked refuels and supervisor approval.

Steps#

  1. Read the reason on Refuel Blocked: | Reason shown | What it means | |---|---| | We couldn't confirm recent distance for this vehicle. | The vehicle's GPS distance has not been updated recently | | No distance data received — this may be a GPS issue (not your fault). | No GPS movement was recorded | | This fill is above the current limit for this vehicle. | The quantity is more than the vehicle may take now | | This is more than the tank can hold right now. | The tank has no room for that much | | This refuel needs supervisor approval. | Another reason, such as your company's wallet or credit being short (see Rules and limits) | Below the reason you see Requested: … L and, when the system knows it, Allowed limit: … L; at a PVoil station, where no quantity is asked, you see Limit exhausted for this vehicle.
  2. Tap Request supervisor approval. Your company's approvers are notified. Or, before you request approval, for This fill is above the current limit for this vehicle. or This is more than the tank can hold right now., tap Reduce quantity. The blocked order is cancelled and you go back to the start of the refuel: at a normal or Petrolimex station, enter a smaller quantity; at a PVoil station the scan starts again.
  3. Wait on the screen: Waiting for supervisor — you'll see the result here. After about two minutes it reads Still waiting — try calling your supervisor. The app checks for the decision every few seconds and also opens it from the push notification.
  4. When the supervisor decides:
    • Approved for … L — you can fuel now: tap Continue. The app takes you back into your refuel at the approved quantity: the camera at PVoil, the QR at Petrolimex, and your order at a normal station. If your company also confirms every refuel, a normal-station order goes to Awaiting Approval first.
    • Not approved. Reason: …: tap Start new order to go home; start a new refuel if you still need fuel.

What happens next#

  • The approved quantity can differ from what you asked for; the app shows the approved amount.
  • A rejected order is cancelled. It cannot be reopened; a new refuel is a new order.
  • A blocked order nobody has decided is cancelled 24 hours after it was created. If you had requested approval, the screen shows This request expired. Start a new order if you still need to fuel.

Rules and limits#

  • One request per order. Tapping Request supervisor approval again does not send a second request.
  • Cancel while waiting. Cancel on the waiting screen cancels the order, withdraws the request and takes you back home.
  • No call button. The app does not call your supervisor for you; contact them your usual way if it is urgent.
  • Money blocks cannot be approved. A refuel blocked because your company's wallet or credit is short cannot be approved by a supervisor, and adding funds does not release it. Cancel it, and start a new refuel once your company has added funds. See Blocked refuels and supervisor approval.
