Set a vehicle's refuel limit

How-to guide Who can do this: Tenant Owner, Tenant Admin

Each vehicle has a limit on how much it may refuel at once: a full tank, a fixed number of litres, or an allowance earned from the distance its GPS records. Choose the mode on the vehicle and set the litres that go with it.

Before you start#

  • Role: Tenant Owner or Tenant Admin, the roles allowed to change vehicles.
  • Where: Vehicles, open the vehicle, Edit details, section Fuel settings. The same settings can be changed through the vehicle API.
  • For the GPS-based mode: the vehicle needs a GPS provider sending its distance, a consumption norm (or Average fuel consumption), and a vehicle model with a fuel capacity for the tank-room cap; see Vehicle models catalog, Connect a GPS provider and Record a vehicle's starting fuel and consumption norm.
  • How each mode works out the allowed quantity is on Refuel limits.

Steps#

  1. In Fuel settings, choose the Limit mode: | Limit mode | The driver may refuel | |---|---| | Full tank | Up to Max litres per fill, or, when that is empty, up to the fuel capacity of the vehicle's model | | Fixed quantity | Up to Quantity refuel allowed each time | | GPS-dynamic | The fuel earned by the distance driven since the last verified odometer reading, up to Max litres per fill and, when the vehicle's model has a fuel capacity, the room left in the tank |
  2. Fill in the litres the mode uses:
    • Full tank or GPS-dynamic: Max litres per fill, the most one fill may take. It must be greater than zero; leave it empty for no per-fill cap.
    • Fixed quantity: Quantity refuel allowed, the litres allowed per refuel. Fill it in: a Fixed quantity vehicle without it cannot refuel at PVoil or Petrolimex.
  3. For GPS-dynamic, if the vehicle has no consumption norms, fill in Average fuel consumption (litres per 100 km); it is used only then.
  4. Click Save. You see Vehicle updated successfully.

What happens next#

  • The new limit applies to the next refuel the driver starts; the platform works out the allowed quantity when the order is created.
  • A refuel above the limit is created as Blocked, and the driver can ask a supervisor to approve it; see Blocked refuels and supervisor approval. At PVoil, where the driver enters no quantity, the allowed quantity is what is held in the wallet, and the order is blocked only when nothing is allowed; see Refuelling at PVoil stations.
  • Refuel orders created by office staff in the web portal are not checked against the limit; see Refuel limits.

Rules and limits#

  • New vehicles start on Full tank.
  • Full tank needs a cap from somewhere. A Full tank vehicle with no Max litres per fill and no model fuel capacity cannot refuel at PVoil or Petrolimex: the order is refused. See Vehicle models catalog.
  • Fixed quantity ignores Max litres per fill.
  • GPS-dynamic needs fresh GPS. With no GPS movement recorded in the last few hours, the allowance is zero and refuels are blocked until GPS catches up or a supervisor approves. See Refuel limits.
  • No norm, no allowance. A GPS-dynamic vehicle with no consumption norm and no Average fuel consumption gets no allowance. Once a vehicle has consumption norms, they must cover today's date, or its GPS-based refuels cannot start; see Record a vehicle's starting fuel and consumption norm.
