Review flagged odometer readings
When an odometer reading from a driver's order, or a value corrected in the photo review queue, jumps much further ahead than the vehicle's estimate, the platform holds it instead of applying it. Look at each held reading with its photo and decide whether it becomes the vehicle's verified odometer.
Before you start#
- Role: Tenant Owner, Tenant Admin or Tenant Supervisor, the roles that can review pending odometer readings.
- Where: Fleet › Odometer Review in the web portal sidebar. The page opens as Odometer Review Queue (… pending).
- How you hear about it: everyone in the company who can review odometer readings gets an Odometer Reading Flagged notification when a reading is held, unless they turned that notification category off.
- Why readings are held: a reading more than the larger of 500 km and 10% ahead of the vehicle's estimated odometer is held for review. If the vehicle has no verified odometer yet, any first reading above 500 km is held, and its Previous Verified and Delta show -. A reading lower than the verified odometer is refused outright, so it never appears here. What the verified odometer is and how it is estimated is on Vehicle odometer.
Steps#
- Open Odometer Review. Each row shows Photo, Vehicle, Submitted, Previous Verified, Delta, Source, Driver, Captured At and Submitted At, newest first. Search by plate with Search odometer readings….
- Click the photo thumbnail to see the odometer photo larger; you can step through the photos on the page. The photo is the one the driver took on the refuel or work order. A row whose order was deleted shows no photo.
- Compare the photo with Submitted and Previous Verified, then choose one:
- Approve: the reading is right. Confirm Approve this reading? You see Odometer reading approved and applied.
- Reject: the reading is wrong and should not be used. Type a reason in Reason for rejection… and click Confirm Reject. You see Odometer reading rejected.
- Fix & Apply: the photo shows a different number. Enter it in Corrected value, add a reason in Reason…, and click Apply Correction. You see Odometer reading corrected and applied.
What happens next#
- Approved or fixed: the value becomes the vehicle's verified odometer, without the jump check that held it.
- Rejected: the vehicle's odometer does not change, and the driver of the order the reading came from is notified.
- Each decision leaves the list and is recorded in the audit log with your name and, for a rejection or a fix, your reason.
Rules and limits#
- Readings never go backwards. A held reading lower than the vehicle's current verified odometer cannot be approved, and a corrected value must be higher than the current verified odometer.
- Your company only. You see and decide only your company's vehicles' readings.
- Export. Export to Excel downloads the pending readings; the file has no photos and no Delta column.
- 25 per page. The list shows 25 readings at a time.
If something goes wrong#
