Settlement rails for orders
A settlement rail is the way an order is paid. Orders run on one of five: the tenant's wallet, the tenant's wallet topped up by a platform credit line, B2B-Direct credit from the merchant, or a partner fuel flow (PVoil or Petrolimex). Voucher redemptions run on a sixth: a voucher charged to a B2B credit line. The rail decides what is reserved, what pays and what is recorded.
Overview#
All three order types — purchase, work and refuel — follow the same money path, described on Order-to-cash flow. The rail changes only what is reserved, what pays and what the platform records. Every rail records the payment the same way: one financial transaction (who owes whom) and one money movement (how it is paid), explained on Transactions, money movements and ledger entries. This page puts the rails side by side and gives the rules that differ between them.
How the rail is chosen#
- Per tenant and merchant pair. Every pair settles through the platform wallet by default. A pair settles B2B-Direct when platform staff add a B2B-Direct route for it. A merchant granting the tenant a B2B credit line also switches the pair's orders to B2B-Direct, in the same step. See Wallet and B2B-Direct settlement between a tenant and a merchant.
- The route is looked up when it is needed. It is not stored on the order. The platform checks it when money is reserved and again when the order is completed.
- Fuel partners are set per merchant. Whether a merchant's fuel orders run through PVoil or Petrolimex is set on the merchant itself. The platform never guesses it from the merchant's name.
- Vouchers always use B2B credit. A voucher redemption is always charged to the pair's B2B credit line, never to the wallet.
Rails at a glance#
| Rail | What is reserved | What pays, and when | On cancel |
|---|---|---|---|
| Wallet | The order amount, held in the tenant's active wallet once the cost is known. | At completion, the payment is created and sent through the wallet's payment provider, and the reservation is attached to it. When the provider confirms, the reservation is captured, the tenant's wallet is debited and the merchant's wallet is credited. | The reservation is released. See Order funds holds and expiry. |
| Wallet with a platform credit line | One reservation, split into the tenant's cash first and credit for the rest. | As for the wallet. The cash part is taken from the balance and the credit part is recorded as credit used on the line. | The whole reservation, cash and credit, is released. |
| B2B-Direct credit | No wallet funds are held. | The merchant's credit line pays. The charge to the line is recorded when a refuel order is created, or when a purchase or work order is completed. Completing the order marks its payment Paid — paid by credit — and sets the order's settlement status to Settled at once. | The obligation is voided and the credit it used is restored exactly. |
| Voucher on a B2B credit line | Nothing is held. | At redemption, the voucher balance and the pair's B2B credit line are charged together. The payment is marked Paid at once. | Not applicable. A refused redemption leaves the voucher exactly as it was. |
| PVoil fuel | The order amount, held in the tenant's wallet (cash and credit) when the order is created. | Nothing is sent through the wallet's payment provider. When PVoil reports the refuel, the platform takes the reserved amount from the tenant's wallet (cash and credit, as reserved), credits the merchant and marks the payment complete. | The reservation is released. |
| Petrolimex fuel | Nothing is held. The order runs on B2B-Direct credit. | A provisional amount is charged to the credit line when the order is created. When the station's invoice is matched, the amount is corrected to the invoice total, and the order is paid and settled in one step. | The obligation is voided and the credit is restored. |
On every rail, the merchant issues the VAT invoice outside the platform. How the order's transaction moves from Paid to Settled once its invoice is matched is explained on Order settlement status and invoice close-out.
Rules by rail#
Wallet
- Every payment draws on the tenant's one active wallet. A retired wallet is never charged.
- The payment records which wallet paid and which wallet was credited, and each wallet entry links back to the payment that made it.
- The payment is sent only when the tenant's wallet has a payment provider set up to take it.
- If there is no such provider, the payment is recorded as failed at once: the order stays Completed and the transaction stays unpaid. The order's settlement status shows Failed, for purchase, work and refuel orders alike.
- If recording a payment fails for a technical reason, the platform retries it automatically and alerts platform staff. A refusal for lack of funds is never retried.
- An hourly check alerts platform staff to failed and stuck payments.
- While the payment is on its way, the order's settlement status is Pending. It becomes Settled once the provider confirms that the money has moved.
Wallet balances and providers: Wallets and balances, Payment providers.
Platform credit line
- The tenant's spendable amount is cash plus usable credit. Spendable means the same thing on the wallet page as at the order: what the wallet shows is what an order can draw on.
- A line that is past its repayment deadline, or fully drawn, adds nothing. The tenant can still spend their own cash.
- Credit used goes up only when the payment is recorded, never when the reservation is made.
The line itself is explained on Platform credit lines.
B2B-Direct credit
- The pair needs an active B2B credit account with enough headroom.
- A purchase or work order that the line cannot cover is not completed, and nothing is recorded.
- A refuel order that the line cannot cover is Blocked when it is created. See Blocked refuels and supervisor approval.
- No money moves on the platform. Paid means paid by credit, not repaid. The tenant repays the merchant for the account as a whole, not order by order.
- A paid obligation can never be voided. Completed orders cannot be cancelled.
- Cancelled obligations drop out of the amounts the tenant owes; paid ones stay in.
The account, its limit and its ledger: B2B-Direct credit accounts. Recording a repayment: Adjust a B2B-Direct credit limit or record a payment.
Voucher on a B2B credit line
- A redemption needs an active B2B credit account for the campaign's tenant and merchant. If there is none — or the account is suspended or closed — the redemption is refused. There is no fallback rail.
- A redemption that would go past the account's limit is also refused.
- The credit line is always charged in money (quantity × unit price), even for a voucher counted in litres.
- A retried capture charges the line only once.
Redemption from the voucher side: Voucher redemption and merchant settlement.
Partner fuel flows
- PVoil orders are checked against the wallet's cash plus usable credit. The tenant's wallet is never charged more than was reserved. If the pump dispenses more, the transaction still records the full amount and the difference is recorded for platform staff to review. If PVoil reports a refuel more than once, it is still recorded only once.
- Petrolimex orders are accepted only from a pair that settles B2B-Direct. Any other pair is refused when the order is created.
The flows themselves: Refuelling at PVoil stations, Refuelling at Petrolimex stations (static QR).
Edge cases#
- PVoil reports after the reservation ended. The payment is created but not completed, and it appears in the hourly check platform staff receive. It is never marked paid against money that was already released.
- Double cancel. Cancelling a B2B-Direct order twice restores the credit only once.
- Merchant rejects a B2B-Direct refuel order. The obligation is voided and the credit restored, as for a cancel.
- No-wallet rails. B2B-Direct and voucher payments name no wallet, because none is charged.
