View your subscription and billing cycles
Your organisation's subscription page shows which plan you are on, the rates in your contract next to the plan's defaults, and every billing cycle with its amounts, proforma invoice and VAT invoice.
Before you start#
- You need the Tenant Owner, Tenant Admin or Tenant Accountant role, or the Merchant Owner or Merchant Admin role.
- You see only your own organisation's subscriptions.
Note: Automatic cycle billing is not running yet. Until the platform switches it on, closed cycles are not billed and no cycles appear.
Steps#
- After signing in, open the Subscriptions page by going to
/subscriptions/on the portal. It lists each subscription's #, Plan, Status, Tenant or Merchant, and Contract rate. - Select the number (#) or the plan name of the subscription whose Status shows Operational.
- Under Identity, check the Subscription Plan, Billing Period and Status.
- Under Contract rates vs plan defaults, compare each Rate in your Contract with the Plan default. A row whose contract value differs from the plan's current default is marked Overridden: either the rate was negotiated, or the plan's default changed after your subscription was created. The amount, VAT rate and discount amount rows have no plan default and show a dash; your VAT rate is shown here.
- Under Billing cycles, the Last billed cycle line shows the most recent cycle at a glance. The table shows each cycle's Period, Subtotal, VAT and Total, its Proforma #, the Issuance status of its VAT e-invoice and the Invoice # once issued. A cycle whose fee was waived is marked Waived.
What happens next#
- The page is read-only; rates are changed only by the platform.
- To see a cycle's proforma, find its Proforma # under Finance > Proforma Invoices; see Proforma invoices. Tenants find the VAT invoice by its Invoice # under Finance > VAT Invoices; see Find a VAT invoice and download its files.
Rules and limits#
- A cycle runs from the start date to the day before the renewal date. Once automatic billing runs, a cycle is billed a few days after it closes. How each cycle is priced is on Subscription pricing and billing cycles.
- A cycle with a total of 0, or a waived one, has no proforma and no invoice; its Proforma # and Invoice # show a dash.
- A waived cycle is marked Waived, so you can tell it from a cycle with no activity.
- The page shows the latest 24 cycles; when there are more, it says that older cycles are not shown.
- The discount amount is shown with the note "Recorded for reference — not applied to cycle billing."
If something goes wrong#
