Delete a user

How-to guide Who can do this: Merchant Owner

To stop someone signing in, either make the account inactive, which you can undo, or delete it, which also frees its username for a new account. Deleting keeps the account's history.

Before you start#

  • Deactivate or delete? Both stop the person signing in to the portal and the Driver App. Deactivating is reversible and the account keeps its username. Deleting cannot be undone in the portal, and the username is released so it can be given to a new account. The differences are set out on User accounts.
  • Who can deactivate: Tenant Owner, Tenant Admin, Merchant Owner, Merchant Admin and the Platform Operator — the roles that may edit users.
  • Who can delete: only roles holding the delete-user permission, which among the nine roles is the Merchant Owner. Tenant users who need a user deleted, for example to free a driver's phone number, ask platform support.
  • Tenant and merchant users can act only on users of their own organisation; a platform team account can act on the users of every organisation.

Steps#

Deactivate a user#

  1. Open Users in the sidebar and click the user's number or email.
  2. Click Edit.
  3. In Status & Security, untick Active. Leave Password and Confirm password blank.
  4. Click Save. The page shows "User updated successfully."

To let the person sign in again, tick Active again and save.

Delete a user#

  1. Open Users and either click Delete on the user's page, or the bin icon titled Delete on the user's row in the list.
  2. On Confirm Deletion, click Yes, delete only once you are sure it is the right account: check the user's name, phone and role on their page before you start, because the question "Are you sure you want to delete user …" names the account by its email only.
  3. Click Yes, delete, or Cancel to go back.
  4. You return to the Users list with "User deleted successfully."

What happens next#

  • Deactivated: the account stays in the Users list, and the Status filter shows it under Inactive. Sign-in is refused on the web and in the Driver App. If it was a driver's login, the driver list shows Login disabled.
  • Deleted: the account disappears from the Users list but its record and history are kept. Sign-in is refused on the web and in the Driver App.
  • The username is released. The deleted account is renamed with a del prefix, so its original name — often a driver's phone number — is free for a new account; the rename is recorded in the audit log. The details are on User accounts.
  • A driver's login shows as disabled. If the account was a driver's login, the driver list shows Login disabled for that driver. The driver record itself stays. Giving the driver a new login is described in Give a driver a Driver App login.

Rules and limits#

  • You cannot delete your own account. The portal answers "You cannot delete your own account.", and the Delete button is hidden on your own page. In the list the bin icon still shows on your own row; using it gives the same message.
  • Deleting is not undone in the portal. There is no restore action. If platform support restores a deleted account, it keeps its del name and never takes the old username back, because by then it may belong to someone else.
  • Deactivating never renames. Only deleting releases the username.
