Change your profile picture
Upload a photo as your profile picture and crop it to a square. Until you do, the portal shows the first letter of your name on a coloured circle.
Before you start#
- Who can do it. You can change your own picture from your user page if your role can open user pages, and a user whose role can edit users can change the picture of any user they manage. Opening a user page needs a role that can view users: Platform Operator, Tenant Owner, Tenant Admin, Tenant Supervisor, Merchant Owner or Merchant Admin. Changing someone else's picture needs a role that can edit users — the same list without Tenant Supervisor — and the user must belong to your own organisation; the Platform Operator can change anyone's. Roles are described in Roles and permission groups.
- Where. The picture is changed in the web portal only; the Driver App and Merchant App have no upload and do not show the uploaded picture.
- The file. A JPG or PNG image of at most 2 MB.
Steps#
- Click your picture or initial in the top-right corner, then choose Profile. To change another user's picture, open Users and click the user's number or email instead.
- On the user page, click the picture next to the name. A camera icon and the tooltip Change avatar appear when you point at it. The Change Avatar dialog opens.
- Click Click to choose file and select the image.
- Choose the square to keep. The largest centred square is selected to start with; to pick another part of the photo, drag across the image to draw a new square. A very small drag resets the selection to the centred square.
- Click Confirm & upload. The button shows Uploading… while the image is sent. To stop without changing anything, click Cancel instead.
When the upload succeeds, the dialog closes and the page reloads with the new picture.
What happens next#
- If the upload fails, the message appears in red at the top of the dialog and your current picture stays.
- The new picture replaces the initial everywhere the portal shows you: the user menu in the top bar, the collapsed side menu, the Users list, your user page, and the activity history and audit log entries of records you changed.
- Uploading again replaces the previous picture; the platform keeps only the latest one.
- The change is recorded in the audit log as an update to the user. See Audit log.
Rules and limits#
| Rule | Detail |
|---|---|
| File types | JPG or PNG only. The file must be a readable image, not only carry an image name or type. |
| File size | At most 2 MB, checked in the dialog and again when the image is received. |
| Shape and size | The square you select is resized to 200 × 200 pixels and saved as a JPG. A transparent PNG background is not kept. |
| One picture per user | A new upload overwrites the old one. The portal has no action to remove an uploaded picture and go back to the initial. |
| Without a picture | A circle with the first letter of the first name, or of the username when there is no first name, or of the email when both are empty, in capitals. |
| Circle colour | Fixed per user: one of 12 colours, always the same for the same person on every page. It cannot be chosen. |
| Other users' pictures | Users without the right to edit users see other people's pictures but get no upload on their pages. |
If something goes wrong#
| Message or symptom | Cause | Fix |
|---|---|---|
| "Please select a JPEG or PNG image." | The chosen file is not a JPG or PNG. | Save or export the photo as JPG or PNG and choose it again. |
| "Image must be 2 MB or smaller." | The file is larger than 2 MB. | Resize or compress the photo, then try again. |
| "Unsupported image type. Please upload a JPEG or PNG." | The portal received a file that is not a JPG or PNG. | Choose a JPG or PNG file. |
| "Could not read image file. Please upload a valid JPEG or PNG." | The file is damaged or is not really an image. | Open the photo in an image editor, save it again as JPG, and upload that copy. |
| Nothing happens after choosing a file; Confirm & upload stays unavailable | The browser cannot read the image. | Save the photo again as JPG and choose that copy. |
| "Could not save avatar image. Please try again." | The picture could not be stored. | Try again in a few minutes; if it keeps failing, contact support. |
| "Network error. Please try again." | The connection dropped during the upload. | Check your connection and click Confirm & upload again. |
| Profile opens an access-denied page | Your role cannot open user pages. | Ask an Owner or Admin of your organisation to upload the picture for you from Users. |
| Clicking a user's picture does nothing | You are not allowed to edit that user. | Ask someone who can edit users in that organisation. |
